Summary: The Faith Formation Administrative Assistant is responsible for administering a parish catechetical program(s) for youth and adults. This role works closely with the Youth and Young Adult Religious Education Coordinator to support the faith formation program, maintain student files and records, and connect families to the parish community.
Responsibilities- Organize, schedule, and coordinate faith formation for youth of a particular level or group.
- Assist with sacramental programs, liturgies, and weekly bulletin communications.
- Order or assist in ordering textbooks, teaching materials, and resources.
- Prepare or provide input on an annual budget, monthly grade level activities, and updates.
- Assist with a yearly calendar and compile the parish master calendar.
- Support and endorse Diocesan and pastoral council and faith formation commission policies.
- Supervise assigned grade levels or groups.
- Recruit catechists and volunteers; supervise or assist with training and formation.
- Advise and visit with students, parents/guardians, and catechists when concerns arise.
- Assist with liturgical celebrations and sacramental rites.
- Collaborate with pastoral staff to integrate the total faith formation plan for the parish.
- Meet monthly with pastoral staff for planning and integration with whole parish programs.
- Monitor and order supplies; coordinate weekly bulletin for Elementary Faith Formation.
- Maintain communication with Faith Formation families; record sacramental notifications and certificates per Diocese guidelines.
- Assist with Diocesan Appeal, Capital Campaign, and other major fundraisers.
- Coordinate with Safe Environment Coordinator to ensure all catechists and volunteers meet safe environment standards.
- Attend Quarterly Pastoral Council Ministry Report meetings and other meetings assigned by the pastor.
- Maintain continuous education and training in faith formation.
- Adhere to Archdiocese Code of Conduct and safe environment mandates.
- Perform other duties as assigned.
- Active member of a Roman Catholic parish faith community.
- Practicing Catholic, active in parish life.
- Several years of experience working with children, youth, and adults.
- Knowledge of group dynamics and ability to establish effective relationships.
- Undergraduate work in Theology, Catechesis or extensive parish experience.
- Must be bilingual in English and Spanish.
- Three years of parish and/or administrative office experience.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and Adobe Acrobat.
- Strong communication skills with various staff levels.
- Availability to work evenings, weekends, and holidays as needed.
- Demonstrated ability to set priorities and organize work effectively.
- Proficient in composing correspondence, minutes and reports.
- Ability to work independently and maintain confidentiality.
