Job Title Associate Registrar for Compliance and Systems
Position PurposeThe Associate Registrar for Compliance and Systems provides strategic leadership and operational oversight for institutional enrollment reporting, academic systems, student records, special programming and populations, and supports regulatory compliance, including FERPA and VA requirements. Serving as the functional lead for the student information system ( SIS ), degree audit system, and related platforms, this position plays a critical role in curriculum management by ensuring academic programs and policies are accurately implemented across institutional systems and processes.
Additionally, the Associate Registrar supports daily Registrar's Office operations, supervises assigned staff and functions, serves as an escalation point for complex operational, administrative, staffing, and workflow issues, and serves on behalf of the Registrar as needed. This role promotes data integrity, compliance, efficient workflows, and the effective use of academic data to support institutional planning and student success.
- Oversee transcript processing, enrollment verifications, records retention and policies, and National Student Clearinghouse reporting. Support audits, external reporting, FERPA and VA compliance, and policy implementation and compliance.
- Support daily office operations and serve as escalation point for complex records, curriculum, and systems issues. Support the day-to-day flow of the office to ensure coverage and continuous customer support.
- Conduct and manage National Student Clearinghouse reporting for complex academic calendar structure, including enrollment and degree reporting, error correction, and degree verification requests.
- Provide functional oversight of Degree Works and Student Educational Planner ( SEP ) templates, ensuring alignment with curriculum and catalog requirements. Maintain standards for degree audit scribing, testing, validation, SEP development, and data reporting from audits and plans.
- Oversee implementation of curriculum changes within Banner, Degree Works, and related systems and collaborate with Academic Affairs and faculty on curriculum implementation and advising support.
- Serve as functional lead for Banner, Self-Service, Degree Works, and related academic systems, including testing, configuration, troubleshooting, and enhancements.
- Collaborate with IT, Institutional Research, and campus partners on system integrations, reporting, and data integrity. Support ad hoc reporting on behalf of the Registrar's Office.
Preferred Qualifications
- 3-5 years progressive experience in a Registrar's Office or applicable higher education role.
- Experience with a Student Information System (i.e. Banner), database reporting tools (i.e. Argos), and a degree audit system (i.e. Degree Works)
- Supervisory and project leadership experience preferred
- Strong analytical, systems, communication, and policy interpretation skills
- Knowledge of academic policies, curriculum processes, and student records regulations (e.g., FERPA )
- Ability to provide a high level of customer-centered service
