Assistant Business Administrator

Position Summary

The Assistant Business Administrator assists in managing the district’s financial affairs and business operations. This role is responsible for ensuring compliance with NH state and federal regulations, overseeing day-to-day accounting functions, and supporting the development of the annual school budget. The ideal candidate is a detail-oriented leader who can translate complex financial data into actionable insights for educational stakeholders.

Key Responsibilities 1. Financial Management & Accounting
  • Oversee accounts payable, accounts receivable, and payroll processing to ensure accuracy and timeliness.
  • Assist in the preparation of monthly financial reports and agendas for the school board.
  • Monitor expenditures against budget line items to prevent over-expenditure.
  • Perform Administrator approval of all requisitions before they are converted into purchase orders.
  • Assist the Executive Director with fiscal year-end and reporting.
  • Collaborate closely with the Executive Director and Administrative Assistant to keep all district and board policies up to date.
  • Oversee the NSLP and accounting staff responsible for reporting and collecting applications.
2. Budget Development & Grants
  • Collaborate with the Executive Director to draft the annual operating budget.
  • Manage the financial reporting and compliance for state and federal grants (e.g., Title I, IDEA). Collaborate with the Deputy Executive Director to verify that accurate accounts are being used.
  • Oversee grant accounts, reconciliation, receivables, and reporting.
  • Assist the Executive Director and Deputy Executive Director with journal entries and budget adjustments.
3. Operations & Compliance
  • Coordinate the annual external audit process and prepare necessary reports.
  • Ensure the district remains in compliance with state and federal-mandated procurement laws and bidding processes.
  • Oversee the management of annual vendor contracts and insurance renewals.
  • Manage district wellness and safety committees to verify district policy and state laws are being followed.
  • Supervise non-instructional staff (e.g., custodial, transportation, and business office/accounting staff) assigned.
4. Human Resources & Benefits
  • Assist in the administration of employee benefits programs, including health insurance, life, and disability. To include seeking alternative plans to reduce costs. Work closely with the HR/Payroll Director.
  • Support collective bargaining efforts by providing cost-analysis data for negotiations. Assist in meetings, along with the HR/Payroll Director and/or the Executive Director.
  • Annual evaluation of business office support staff and lead custodians. Assist lead custodians in evaluating all district custodians annually.
Education
  • Bachelor’s degree in accounting, Finance, or Business Administration.
  • Will consider an A.S. degree with experience in Governmental Accounting.
Experience
  • 3–5 years of direct experience in school business.
Software
  • Proficiency in school-specific systems (e.g., IVEE-ERP Pro, Frontline, and NHDOE GMS) and advanced Excel skills.
Attributes
  • Strong ethical compass, excellent communication skills, and the ability to multitask under deadlines.
Physical Requirements & Environment
  • Standard office environment with frequent use of computers.
  • Ability to attend evening Board meetings and/or negotiations as needed.
  • Periodic travel between school buildings/districts within the SAU.
