Overview

Senior Administrative Assistant to Business Office, Digital Technology, Operations, and Tessitura reports to the Yale School of Drama/Yale Repertory Theatre Director of Finance, with day‑to‑day direction from the Directors of Digital Technology, Human Resources, Facility Operations, and Tessitura Consortium. Provides a high level of clerical, administrative, financial bookkeeping, and HCM support to the DGSD/​YRT Business Office, Digital Technology, Human Resources, and Operations Departments, and Tessitura Consortium.

Responsibilities
  • Prepares, monitors, and reconciles departments’ financial records and paperwork; assists in developing the annual budget.
  • Serves as YSD/YRT administrator for the space‑scheduling system for non‑production facilities.
  • Provides expert clerical and financial support to all departments.
  • Acts as a primary resource for the Director of Human Resources in all HCM matters for staff and faculty.
  • Coordinates YSD/YRT prox‑card and .
  • Maintains, prepares, and disseminates accurate department documents; manages departmental calendars.
  • Manages postage/shipping codes and serves as the main contact for bulk mail, postage, or shipping issues.
  • Determines inventory levels and orders office supplies, stationery, and business cards; processes orders and maintains stock.
  • Runs business office requests across campus, including delivery of school monies to Treasury Services with police escort.
  • Liaises with University archives as the school representative.
  • Participates in testing new processes and systems as requested.
  • May perform other duties as assigned.
Required

Skills and Abilities
  • Strong independent self‑starter who can manage up and maintain confidentiality.
  • Attention to detail, ability to meet deadlines, and follow schedules and instructions.
  • Ability to manage and prioritize a complex workload efficiently and professionally.
  • Excellent oral and written communication skills; proficient with electronic calendars and scheduling.
  • Proficient in Windows, Excel, and Word; excellent keyboarding; familiar with databases and data manipulation.
  • Accurate numerical handling; knowledge of bookkeeping and budgeting.
Preferred

Skills and Abilities

Experience as an executive assistant; knowledge of Outlook, Tessitura, Workday, and an event‑management system such as EMS.

Physical Requirements
  • Ability to sit/stand for long periods of time.
  • Ability to lift up to 35 lbs.
  • Ability to walk up two flights of stairs.
Education and Experience

Six years of related work experience, four of those in the same job family at the next lower level, and a high‑school‑level education; or four years of related work experience and an associate’s degree; or little or no work experience and a bachelor’s degree in a related field; or an equivalent combination of experience and education.
