About the Job

The Accounting Manager works with the Finance and Operations team to ensure the accuracy and timeliness of ABWF’s financial management systems, processes, policies and records. The Accounting Manager must be experienced in non-profit accounting and able to manage the complexity of fiscal sponsorship accounting at the scale of $3million and above.

The Accounting Manager leads day-to-day finance functions for the organization, performing a variety of bookkeeping and accounting duties. In collaboration with ABWF staff and our fiscally-sponsored projects, the Accounting Manager will maintain key financial day-to-day operations, ensure the general ledgers are updated accordingly; provide regular financial reporting; and ensure compliance with all regulations.

The Accounting Manager must have strong interpersonal skills and the ability to motivate and influence people working together with a variety of priorities. The accounting manager must also be able to teach basic non-profit financial management principles to leaders of fiscally sponsored projects.

The Accounting Manager should be comfortable with handling large amounts of data and be very familiar with Quick Books Online. This position is part of a growing and robust finance and operations team at ABWF, offering opportunities for growth.

Primary Responsibilities

Essential Job Functions

Strategic Financial Management

  • Ensure the integrity and data quality of ABWF’s financial management systems.
  • Oversee integrity and manage all accounting processes and systems. Ensure that all books are accurate and maintained up to date
  • In coordination with ABWF senior leadership and projects’ representatives ensure that ABWF policies and procedures are documented and implemented with clear feedback and communication protocols between ABWF and all fiscally sponsored projects.

GL Management & Accounting

  • Review and process all organizational expenses and payments and follow up as needed.
  • Use Fund Accounting to manage multiple and diverse fund centers for fiscally sponsored groups.
  • Complete ongoing grant management review and prepare reports for the funders once grants are closed down.
  • Perform month-end, quarter-end, and year-end closing entries, reconciliation of balance sheet accounts, and reconciliations of fiscally-sponsored groups
  • Manage Chart of Accounts

Accounts Payable

  • Maintain accurate annual Vendor List to support preparation of Form 1099 reporting
  • Record and reconcile weekly Accounts Payable
  • Verify all expenditures are supported by adequate documentation and approvals
  • Record monthly payroll and payroll tax entries; credit card transactions

Accounts Receivable

  • Create monthly invoices for incoming grants & revenue payments
  • Monitor A/R Aging
  • Maintain grants schedule for tracking restricted and unrestricted funds by period

Cash Management

  • Oversee timely credit card reconciliations.
  • Oversee compliant cash management practices, including internal transfers and completing monthly reconciliations for all bank accounts, prepaid debit cards, and all other accounts and financial platforms.
  • Receipt checks, grants and other awards
  • Perform monthly bank reconciliations
  • Monitor and manage credit card balance and make monthly payments
  • Facilitate annual audit: respond to requests for information, generate schedules, answer questions
  • Take primary responsibility for financial systems to ensure data is managed effectively and within appropriate controls and regulations
  • Prepare, analyze and generate accurate and timely reports on financial status, including financial statements for month-end, quarter-end and year-end with notes (Statement of Financial Position;
    Statement of Activities;
    Statement of Cash Flows; Schedule of Functional Expenses; Schedule of Program Revenues and Operating Expenses), and other reports requested by the Board, Fiscally Sponsored groups, and/or funders
  • Monitor due dates for state, local, and Federal tax filings
