Raritan Valley Community College has an anticipated opening for an Academic Department Assistant for the Communication & Languages department. The Academic Department Assistant reports directly to the Division Dean for Business, Communication & Public Service.
Responsibilities- Assist the Department Chairperson(s) with daily office responsibilities in a time‑sensitive manner.
- Receive walk‑in visitors, students, and inquiries concerning classes and services offered at RVCC; respond knowledgeably and direct inquiries as appropriate.
- Maintain an efficient, productive, and professional office environment.
- Maintain proficiency in the use of College technology support systems, and use Banner, Argos, and Lion's Den to assist the Chairs with schedule confirmation, cancellation procedures, contracts, and reports.
- Assist with faculty attendance records and submit timesheets on a regular basis.
- Create, organize, and maintain all filing systems in the academic department; develop and maintain efficient office procedures and methods, including a professional record‑keeping system enabling the archiving and retrieving of documents in a timely fashion.
- Maintain confidentiality of student exams, records, and faculty files.
- Collect, store, and archive all End‑of‑Semester materials from adjuncts.
- Assist the Department Chairperson(s) in the development and maintenance of budgets, including supplies, purchase orders, requisitions, inventory, and repair records.
- Order books for all full‑time and adjunct faculty for all sections; coordinate with the Bookstore Book Manager extensively during peak periods to ensure correct copies and editions are ordered and fulfilled.
- Process full‑time and adjunct faculty requests for desk copies of new text selections or texts in new editions.
- Complete work orders when needs arise in the faculty offices or classrooms.
- Maintain full‑time and adjunct faculty lists and, for departments with Advisory Committees, maintain member lists.
- Assist the Department Chairperson(s) with marketing and promotional materials and event planning for departmental special events: reserve rooms, order technology, housekeeping, and catering as needed; coordinate honoraria payments.
- Assist the Chairperson(s) in the preparation and distribution of confidential peer observations to full‑time and adjunct faculty.
- Coordinate collection of CRNs that faculty will use for course evaluations using EKit.
- Assist Department Chairperson(s) with student worker/office staff that provide reception or clerical services, when available.
- Liaise with the staff in Enrollment Services, assisting in monitoring and developing the schedule of courses for RVCC.
- Monitor and make recommendations to the Chair(s) for ongoing improvement of procedures and processes.
- Perform other related duties as assigned.
- A.S. degree in applicable discipline or 3–5 years of administrative/secretarial experience.
- Proficiency with MS Office applications.
- Excellent writing and administrative assistant skills, and ability to organize the office.
- Professional telephone skills, time management, and the ability to handle multiple projects.
- Ability to handle sensitive and confidential information.
- Strong interpersonal skills, ability to work independently, excellent oral and written communication skills, and a positive attitude.
