SUMMARY

An Ophthalmic Technician/Scribe is a valuable asset to an Ophthalmologist, assisting in providing excellent patient care during visits. The employee uses ophthalmic techniques to perform preliminary work‑up of patients, scribe for physicians, and may assist directly with examinations and treatment.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Display a professional attitude, greet patients promptly with a smile, and thank them when they leave
  • Anticipate Physician needs to facilitate clinic flow
  • Practice urgency with patient’s and Doctor’s time and schedule
  • Comply with all company policies and procedures, including HIPAA
  • Verify patient’s information by interviewing
  • Record patient’s medical history and current medications and confirm purpose of visit
  • Record all data in the patient’s Electronic Medical Record (EMR)
  • Check condition of patient’s eyes by observing pupils, muscles, visual acuity and extraocular movements
  • Dilation, refraction, pressures, performing diagnostic tests including visual fields, OCT, GDX, IOL master, auto refractor, and topography
  • Demonstrate working knowledge of eye anatomy, diseases, symptoms, and ocular medications
  • Accurately and thoroughly document medical visits and procedures being performed by the Physician
  • Basic understanding of examination and procedure codes (ICD‑9) when inputting into EMR
  • Ensure accurate procedure coding/charges and correct diagnosis codes for all procedures/drugs
  • Prepare patients for treatments and minor procedures; measure and record vital signs (BP, pulse and respiration rate) as required
  • Open and close exam rooms as needed
  • Keep examination, treatment, laser and any other assigned rooms cleaned and stocked with supplies, and keep drug count up to date
  • General office duties and cleaning as assigned by manager
QUALIFICATIONS

EDUCATION AND/OR EXPERIENCE
  • High school diploma or GED required
  • One year related experience and/or training; or equivalent combination of education and experience
LICENSES AND CREDENTIALS
  • Current Certified Ophthalmic Assistant (COA) or Certified Ophthalmic Technician (COT) preferred, not required
  • Ophthalmic Scribe Certification (OSC) preferred, not required
SYSTEMS AND TECHNOLOGY
  • Proficient keyboarding, EMR and image management system usage
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
  • Computer proficiency and quick learning of new applications
PHYSICAL REQUIREMENTS
  • This role requires frequent walking (75%), sitting (50%), and standing (50%). Regular bending, stooping, and reaching (25–50%). Able to lift up to 25 lbs. Strong fine‑motor skills and full use of hands are essential. Visual and auditory acuity (color, depth, peripheral vision, focus) required 100% of time. Occasional driving or climbing may also be necessary.
