Base Pay Range

SummaryAs an Executive Recruiting Coordinator, you will work closely with Executive Recruiters and Sourcing teams in a fast‑paced environment. Your role is a key partner in coordinating executive recruiting activities, including interview scheduling, offer letter generation, dashboard reporting, and executive onboarding. You’ll engage with top leadership internally and externally, ensuring a smooth, polished experience for all candidates and stakeholders.
Responsibilities- Serve as a partner to Recruiters and Hiring Managers, executing all coordination efforts
- Schedule phone, video, and onsite interviews for selected candidates
- Arrange travel logistics and interview agendas
- Draft and send offer letters and new‑hire documents
- Regularly update candidate records and hiring information in the company’s HRIS system
- Coordinate interview expense reports and employee referrals
- Provide follow‑up correspondence to candidates via phone and email
- Execute background checks and ensure they are completed timely and accurately
- Identify opportunities to improve candidate experience and scheduling efficiency
- Generate reports for the Recruiting Manager on a regular basis
- Assist in process‑improvement projects across the department and build relationships with multiple HR counterparts
- Bachelor’s degree preferred
- At least 4‑5 years of experience in a recruiting support environment
- Previous experience scheduling a high volume of interviews/meetings in a fast‑paced corporate environment
- Strong computer skills, including MS Excel and MS Outlook
- Experience with applicant‑tracking systems (Workday) a plus
- Previous recruiting coordinator experience or equivalent required
- Strong customer‑service orientation with a demonstrated desire to exceed expectations
- Ability to create reports in Excel and review resumes for match with job descriptions
- Excellent written and verbal communication skills, articulate communication style
- Ability to interface with all levels of the organization and external candidates
- High sense of urgency with accuracy and efficiency; respectful persistence in day‑to‑day operations
- Willingness to go the extra mile for quality and speed
- Strong relationship‑building skills with executive stakeholders, candidates, and internal partners
- Strong problem‑solving skills with independent troubleshooting and closure
- Great organizational skills and attention to detail, juggling multiple tasks simultaneously
- Flexibility and adaptability to change direction quickly in a fast‑paced environment
- Solid sense of accountability and personal judgment
- Ability to handle confidential information and appropriately elevate issues
- Team player with a solid work ethic, willing to pitch in where needed
