As an Administrative Specialist, you will play a key role in providing essential support to our team and the people we serve. Reporting to the Associate Director, you will handle a variety of administrative responsibilities, including communication management, data entry, billing assistance, and documentation tracking.

Hours: Monday-Friday 8:00am-4:30pm

Pay: $17.00-$20.00

Essential Functions
  • Answer incoming phone calls and relay detailed messages accurately
  • File and maintain medical, pharmacy, and billing records
  • Scan and organize medical administration records in a timely manner
  • Monitor and respond to email communications
  • Assist in scheduling doctor appointments and coordinating transportation
  • Type and track billing notes and documentation
  • Support nurses with organizing binders and filing charts
  • Track pharmacy and medical bills and ensure timely payments
  • Accurately enter data and manage documentation using Microsoft Office and other systems
  • Assist with special projects involving sorting, filing, and data tracking
  • Perform additional duties as assigned
Skills and Abilities
  • High proficiency in data entry and typing
  • Excellent interpersonal and communication skills, both written and verbal
  • Strong organizational and time management abilities
  • Ability to maintain professionalism and tact when interacting with clients, staff, and family members
  • Comfortable working both independently and as part of a team
  • Self-motivated with a strong work ethic and attention to detail
  • Ability to handle multiple tasks simultaneously and meet deadlines
Physical Demands
  • Ability to lift up to 40 lbs. from floor to waist without assistance
  • Ability to remain stationary for extended periods (sitting or standing)
  • Regularly required to sit, stand, talk, hear, and use hands/fingers for computer and phone use
  • Physical tasks may include driving, reaching, stooping, crouching, crawling, climbing, pushing, pulling, and repetitive motion
Qualifications
  • High school diploma or GED required
  • Prior experience in an administrative or office setting strongly preferred
  • Familiarity with scheduling, filing systems, and billing support processes
  • Eagerness to contribute and go above and beyond in support of the team
