Overview
The successful candidate will be responsible for assisting multiple engineering departments in the handling of varied administrative job assignments and tasks, including but not limited to the following:
- Create, format and issue technical correspondences to internal and outside organizations based on department employee input
- Coordinate department commitments, conference rooms, conference telephone lines, interviews and new hire onboarding
- Organization and distribution of meeting material in support of weekly meetings
- Manage department managers calendar and schedules
- Manage department facility maintenance and information technology requests and supplies
- Manage department organizational charts, seating, employee databases and evacuation plans
- Process visit requests for department employees
- Employee travel reservations and preparation of expense reports
- Candidates will be expected to accept assignments directly from department staff relying on supervision only to provide occasional prioritizing of conflicting needs
- Occasional overtime may be required to meet department commitments
Position requires supporting the department’s core working hours as defined by department Managers and may require evening or weekend support.
Qualifications Required- 2-5 years professional administrative experience
- High school diploma or equivalent
- Office administrative support experience typing skills and, familiarity with Microsoft Office Suite (Word, Excel, Power Point, Outlook)
- Must be able to type 45+ words per minute
- Must be able to obtain and maintain a security clearance through the department of defense
- Associates or Bachelor Degree preferred
- Ability to manage data- collecting and developing effective status reporting
- Working knowledge of Electric Boat's Policies, procedures, and program instructions
- Experience with frequently used EB applications and tools such as CONCUR, Cornerstone, SWSNET, CITIS, Lotus Notes, Data Monster and Procedure gateway
- Ability to complete work accurately and in accordance with company policies, procedures and program instructions while meeting schedules - attention to detail is essential
- Must possess strong written and oral communication skills, and the ability to communicate effectively at various levels of the organization
- Ability to accept assignments directly from multiple sources, multitask and effectively manage priorities among multiple concurrent tasks,
- Ability to learn new methods, tools, and processes and adjust to changing priorities
- Ability to maintain confidentiality with regard to personnel and company sensitive matters
- Candidate will be expected to actively contribute in a team environment, and must have a demonstrated history of accepting responsibility and independently completing assignments with minimal oversight
