Position:
Executive Assistant / Legal Administrative Support – Non-Exempt
Hours: 9:00 AM – 5:00 PM ET
Schedule: Hybrid after 60 days (two remote days per week)
We are looking for a detail-driven and resourceful administrative professional to provide high-level support to a busy senior attorney and collaborate with colleagues within a fast-paced, large law-firm setting. The ideal candidate is proactive, adaptable, and skilled at managing competing priorities while delivering polished, reliable support.
Key ResponsibilitiesOversee a senior attorney’s daily schedule, arranging all internal and external meetings, including client consultations, conferences, depositions, and court-related commitments.
Coordinate the logistics of hearings, meetings, and trial preparation, such as arranging catering, transportation, workspace needs, and delivery of exhibits or materials.
Handle all travel planning for the attorney, including flights, lodging, ground transportation, and detailed itinerary management.
Submit and track expenses, invoices, and reimbursement requests on behalf of the attorney.
Maintain well-organized digital and physical filing systems, including case documents, correspondence, pleadings, and discovery records.
Manage incoming and outgoing mail, packages, and general administrative workflows to keep daily operations running smoothly.
Liaise with service vendors such as court reporters, videographers, and other legal support providers.
Assist attorneys with time entry and billing tasks, ensuring all submissions are accurate and timely.
Act as a professional and discreet point of contact for clients, colleagues, and other stakeholders.
Offer additional support on team projects or administrative initiatives as needed.
At least 3 years of experience as a legal secretary, executive assistant, or paralegal within a demanding legal setting; large-firm experience strongly preferred.
Bachelor’s degree preferred.
Strong command of Microsoft Office applications.
Demonstrated ability to prioritize effectively and meet deadlines.
Collaborative mindset with the ability to work closely with attorneys and support staff.
Flexibility to work overtime when necessary, especially during urgent or time-sensitive matters.
