Leave Administration Specialist (Contract) – Join Colgate‑Palmolive, a global consumer products company, to support employees in managing leaves such as disability, parental, FMLA, and military. This role reports to the Leave Administration Manager and focuses on the day‑to‑day administration and coordination of all types of leaves.
Responsibilities
- Vendor
Collaboration:
Partner with Leave Technology and Disability vendors to manage cases and resolve issues. - Employee
Experience:
Engage with employees to support them throughout the leave process. - Escalation Management:
Resolve routine Disability, Leave, ADA, and Leave Technology portal issues; escalated complex cases to the Manager. - Administrative Practices:
Collaborate with disability vendor and stakeholders (HRBPs, People Relations, Payroll, Legal) to ensure proper administrative procedures. - Process Implementation:
Implement new processes for efficiency; facilitate system integrations (disability, payroll, timekeeping, HRIS) for data accuracy; address deviations with stakeholders. - Case Management:
Review leave requests (FMLA, STD/LTD, parental, medical, military, ADA); verify eligibility and documentation using the leave management system; send and track notices/forms; manage case lifecycle (open, update, close). - Employee Guidance:
Clearly explain leave policies, rights, and timelines; provide checklists/next steps; set certification reminders; advise on maternity/parental leave pre‑emptively. - Compliance and Documentation:
Ensure compliance with federal, state, and local laws (e.g., FMLA, ADA, PFL) and company policy; maintain accurate records and audit trails; monitor deadlines. - Stakeholder Coordination:
Partner with HRBPs/managers on eligibility, staffing, and return‑to‑work; coordinate with Payroll on pay impacts/deductions; liaise with TPAs and insurers. - Return‑to‑Work and Accommodations:
Manage fitness‑for‑duty/release documentation; coordinate transitional duties, reduced schedules, or ADA accommodations; maintain accurate approval/denial records; coordinate return‑to‑work dates with HRBPs. - Workers’ Compensation:
Coordinate Claims and Benefits—integrate Workers’ Compensation claims with concurrent leave programs (STD, FMLA); review benefit payments across sources to prevent over payments and ensure accurate claims processing.
Required Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or related field.
- 3+ years of experience in leave of absence management or a related field (e.g., disability management).
- Expertise in using technology solutions for leave administration.
- Knowledge of relevant laws and regulations related to leave and disability management.

- Excellent communication and interpersonal skills.
- Ability to handle sensitive and confidential matters with discretion.
- Ability to manage multiple priorities and work in a fast‑paced environment.
Compensation and Benefits
Salary Range: $40.00 – $45.00 USD. Benefits include medical, dental, vision, basic life insurance, paid parental leave, disability coverage, and participation in the 401(k) retirement plan with company matching contributions subject to eligibility requirements. Additional benefits: minimum 15 vacation/PTO days, 13 paid holidays, and paid sick leave per local laws.
