About the Job

The Production Associate plays a key role in supporting the full production lifecycle—from sample approval through final bulk shipment—to ensure accuracy, quality, and on‑time delivery. This role is highly detail‑oriented and process‑driven, requiring exceptional communication with overseas vendors, strong organizational skills, and the ability to manage multiple timelines simultaneously.

Working closely with the Production Director, the Production Associate maintains all production records, monitors workflow through ERP and project management systems, and helps safeguard product standards through sample review and quality support. This role is ideal for someone who thrives in a fast‑paced environment, enjoys cross‑functional collaboration, and brings a proactive, problem‑solving approach to production operations.

What You’ll Do Production Management & Tracking
  • Support the Production Director in managing all stages of production, from sample approval to final shipment, ensuring accuracy, quality, and timely delivery.
  • Enter and maintain all purchase orders in Blue Cherry (ERP), ensuring information is accurate, current, and aligned with vendor details.
  • Track and manage production timelines using Asana and Outlook, proactively identifying risks or delays and communicating updates to key stakeholders.
  • Maintain and update all production tracking documents to provide clear visibility into status, progress, and upcoming milestones.
  • Manage and communicate production priority lists, ensuring vendors understand shifting priorities and tracking these through to shipment.
  • Communicate daily with overseas vendors regarding PO details, timelines, materials, and approvals to ensure accurate and on‑time completion.
  • Build and maintain strong working relationships with vendors and internal teams to support smooth production flow.
  • Prepare shipment lists for outgoing bulk production, confirming accuracy against PO records and following up on delays.
  • Enter and update bulk production shipments in Blue Cherry, including inventory transfers as needed.
Vendor Communication & Collaboration
  • Communicate daily with overseas vendors regarding PO details, timelines, materials, and approvals to ensure accurate and on‑time completion.
  • Build and maintain strong working relationships with vendors and internal teams to support smooth production flow.
  • Prepare shipment lists for outgoing bulk production, confirming accuracy against PO records and following up on delays.
  • Enter and update bulk production shipments in Blue Cherry, including inventory transfers as needed.
Quality Review & Compliance
  • Assist in reviewing and inspecting TOPs (Top of Production samples) against approved samples, documenting discrepancies and communicating necessary corrections.
  • Maintain the QC warehouse section in Blue Cherry, recording rejections and processing the receipt of replacement goods.
  • Provide backup support for Quality Control during peak periods, performing inspections to ensure adherence to product standards.
Who You Are
  • Highly organized and detail‑oriented, with strong time‑management abilities.
  • Skilled in multitasking and maintaining accuracy across multiple systems and timelines.
  • A strong communicator who can work effectively with overseas vendors and internal teams.
  • Comfortable working in a fast‑paced environment and proactively identifying issues before they escalte.
  • Experience with Blue Cherry (ERP), Asana, Outlook, or similar systems is a plus.
  • Prior production, operations, or product development experience preferred but not required.

Location:

New York, NY. Salary: $75,000 - $90,000 annually. In‑office position.
