Accounts Payable and Accounts Receivable Specialist

Reporting to the Controller U.S. Region, the Accounts Payable (AP) and Accounts Receivable (AR) Specialist is responsible for managing the full-cycle AP and AR processes to ensure accurate, efficient, and timely financial transactions. This role is critical in maintaining the company’s financial health, cash flow, and vendor/customer relationships.

****** Accounts Receivable (AR) Responsibilities:
*** Invoicing:
Generate, process, and distribute accurate customer invoices in a timely manner.
* Cash Application:
Accurately record and apply incoming customer payments (checks, ACH, wire transfers) to the correct accounts and invoices.
* Collections:
Monitor the Accounts Receivable aging report and proactively follow up on past-due accounts via phone and email to secure timely payment while maintaining positive customer relationships.
* Reconciliation:
Reconcile customer accounts, resolve billing discrepancies, and process any necessary credit memos or adjustments.
* Reporting:
Prepare AR-related reports, including aging summaries, collections forecasts, and Days Sales Outstanding (DSO) metrics.
** Accounts Payable (AP) Responsibilities:
*** Invoice Processing:
Review, verify, and process high-volume vendor invoices, ensuring proper coding, authorization, and matching to purchase orders (if applicable).
* Payment Processing:
Prepare and process weekly or bi-weekly payment batches (checks, ACH, wire transfers) for vendor disbursements in compliance with company policies.
* Vendor Management:
Respond to vendor inquiries regarding payment status, statement discrepancies, and invoice issues.
* Reconciliation:
Reconcile vendor statements to the general ledger and ensure all balances are accurate.
* Compliance:
Assist with year-end tax requirements, including the preparation and filing of 1099 forms.

***** Assist with month-end and year-end closing processes.
* Maintain accurate and organized financial records and documentation (both physical and electronic) in accordance with company policies and audit requirements.
* Perform administrative and clerical tasks, such as data entry, filing, and reporting.
* Collaborate with internal departments (e.g., Purchasing, Sales) to resolve AP/AR-related issues.
** Must Haves:
*** 1-3 years of experience in accounts payable/receivable or general accounting is typical.
* Proficiency with accounting software and strong skills in Microsoft Excel.
* Excellent communication, organization, and problem-solving skills.
* Analytical abilities, attention to detail, and the ability to work independently and as part of a team.
**** This role is hybrid (2 - 3 days/week in the office) - based in New York, New York.
