Flex Staff is seeking an experienced Bookkeeper to join our client’s finance team. Our client is a leading medical and research center in Manhattan.

  • Compensation: $60,000 – $80,000 per year (commensurate with experience)
  • Position Type:
    Full-Time (On-site, Monday–Friday 9:00am-5:00pm)

The ideal candidate will have strong knowledge of accounting, hands-on Quick Books experience, and a deep understanding of financial processes. This role supports daily financial operations, monthly closings, and annual audits, and plays a key part in maintaining accurate and timely financial records across multiple entities.

Key Responsibilities
  • Perform accounts payable functions including invoice entry, vendor file maintenance, W-9 collection, and matching purchasing/shipping documentation
  • Record donations, grants, and other income; reconcile daily deposits
  • Accurately record EFTs, ACHs, and check payments into Quick Books in a timely manner
  • Maintain the general ledger across multiple Quick Books classes
  • Perform monthly bank reconciliations and prepare journal entries
  • Reconcile intercompany and affiliate transactions across three organizations
  • Prepare monthly and annual accounting close packages for COO review
  • Reconcile contribution records with Development Director’s monthly data
  • Prepare and e-file annual 1099s for independent contractors and vendors
  • Assist in annual external audits and financial reviews
  • Support the COO with month-end closing and financial statement preparation
  • Provide administrative support to management as needed
  • Perform other related projects or tasks as assigned
Qualifications
  • Bachelor’s degree in Accounting, Finance, or a related field
  • Minimum of 4 years of bookkeeping or accounting experience
  • Proficiency in Quick Books and Microsoft Office Suite (especially Excel)
  • Experience with payroll and benefits administration (Paychex Online a plus)
  • Strong attention to detail and commitment to accuracy
  • Excellent organizational skills and ability to manage multiple priorities and meet deadlines
  • Ability to work both independently and collaboratively in a fast-paced environment
  • Experience supporting management in an administrative capacity
  • Reliable, punctual, adaptable, and highly professional
