We are a mid-sized architecture firm specializing in classical, traditional, and preservation design, with offices in New York and Palm Beach. Our team of architects and designers combines high professional standards with a fun, creative studio culture. We’re looking for a full-time, in-office Office Manager / Personal Assistant to join our Florida team.

This is a unique opportunity for someone who loves variety, thrives in a dynamic environment, and enjoys being the go-to person who keeps everything running smoothly. The ideal candidate is organized, proactive, and personable — someone who takes pride in helping a team do their best work while keeping the office polished, stocked, and efficient.

As our Office Manager / PA, you’ll be the heartbeat of the office — greeting visitors, coordinating deliveries, managing supplies, and ensuring the studio runs seamlessly day to day. You’ll also assist the firm’s principal with administrative and personal support, such as scheduling, booking travel, and handling errands. The role blends classic office management with elements of executive assistance, event coordination, and even some light marketing and social media support.

  • Reports to the Principal and Operations Director
Job Requirements
  • Office Management
    • Keep the office running smoothly every day — managing supplies, deliveries, mail, and vendors.
    • Serve as the welcoming face and voice of the Palm Beach studio, greeting clients and visitors.
    • Oversee office organization, kitchen inventory, and upkeep of shared spaces.
    • Coordinate maintenance, IT, and building services as needed.
    • Assist with team lunches, office events, and staff gatherings that build company culture.
    • Support onboarding of new employees — desk setup, welcome materials, and office orientation.
  • Administrative & Personal Support
    • Provide professional and personal assistance to the firm’s principal, including scheduling, travel planning, and errands.
    • Manage calendars, book flights and accommodations, and coordinate itineraries.
    • Run local errands as needed to support the team or principal.
    • Maintain confidentiality and discretion in all personal and business matters.
  • General Office Assistance
    • Answer phones and route inquiries efficiently and professionally.
    • Prepare and format documents, correspondence, and presentations.
    • Assist with project organization and administrative coordination.
  • Marketing & Social Media
    • Assist in posting and maintaining content for firm social media accounts.
    • Help collect and organize photos or project updates for marketing purposes.
    • Coordinate with photographers, marketing consultants, or vendors.
Qualifications
  • 3+ years of experience in office management, executive assistant, or similar administrative role.
  • Highly organized, detail-oriented, and comfortable multitasking.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office and Google Workspace; familiarity with Adobe or social media platforms is a plus.
