Location: Sugarbush

Seasonal (Mid‑May through October), Full‑time (flexible days but will include some weekends depending on shifts)

The Office Manager is responsible for ensuring the smooth, efficient, and professional operation of the office environment. This is a highly visible position, serving as the central point of contact for scenic ride customers, club members, students, and staff. The Office Manager supports the administrative needs of SSA and is critical to the success of the organization.

Key Responsibilities Customers
  • Scenic Rides
    • Respond to requests to book scenic rides via telephone, email and in person
    • Greet guests on arrival, familiarize them with the airfield and safety protocols while on the property
    • Take payment and direct to the flight line
  • Instruction
    • Schedule flight instruction
    • Respond to requests for information on instruction
  • Greet arriving transient aircraft, record aircraft info, charging parking fees as applicable
Membership
  • Respond to members’ requests including scheduling instruction and account questions
  • Respond to requests for information on new membership, onboard new members, ensuring administrative processes are adhered to
Fuel Farm
  • Take weekly fuel tank reading, record on fuel report and invoice sales in Quick Books
  • Ensure adherence to legal requirements
Office Support
  • Oversee and organize general office procedures, including filing systems and correspondence
  • Manage the maintenance of the office space, ensuring a safe and organized work environment
  • Monitor and order merchandise, snack bar & office supplies, aircraft parts, and equipment necessary for daily operations, ensuring cost-effectiveness.
Finance & Budget
  • Handle basic accounting tasks such as processing invoices, managing petty cash, tracking expenses, and assisting with budget monitoring.
  • Month‑end reporting and credit card reconciliation
  • Day sheets
    • Input daily flight report and invoice customers through Quick Books
Human Resources
  • Onboard new employees, maintain personnel records, coordinate staff schedules, and submit biweekly timesheets.
Qualifications
  • Proven experience (2 years minimum) working in an office administration and/or managerial role.
Skills
  • A pleasant, positive attitude
  • Great interpersonal skills with the desire to be part of a strong team
  • Comfortable working with youth and a genuine desire to work with and support them
  • Excellent verbal and written communication skills with exceptional attention to detail
  • Independent judgment and initiative to handle occasional out‑of‑the‑ordinary situations
  • Marketing and/or social media background or experience is a plus
  • The ability to think quickly, smile often, and laugh at the absurd is mandatory!
Education:

High school diploma or equivalent required; associate or bachelor’s degree preferred.
