Executive Assistant to President of Public Relations Firm
New York, NY – 1–2 weeks ago (salary range: $95,000.00–$)
A well‑known PR firm with 100 employees in the Flatiron District is looking for an Executive Assistant to the President. The office has an open plan layout, lounge area, and kitchen, and the environment is heavily team oriented. This is an office role.
About the Job- Provide daily support to the President in planning, directing, managing, and coordinating business activities
- Manage a complex calendar, schedule and confirm meetings, and ensure all logistics are seamless
- Serve as trusted primary contact between President and internal staff
- Coordinate travel arrangements, including flights, hotels, and itineraries
- Liaise professionally with clients, senior executives, and cross‑functional partners across the organization
- Screen and prioritise incoming calls, emails, and requests
- Set up domestic and international conference calls and meetings, both in‑person and virtual
- Handle expense reports, invoice tracking, and related administrative tasks
- Assist with research projects, presentations, and proposals for existing and prospective clients
- Update and maintain documents and grids such as org‑charts, lists; draft correspondences
- Support general office operations, including ordering supplies and coordinating logistics
- Provide hands‑on meeting support (ordering food and beverages, setting up conference rooms, preparing materials)
- Occasional personal assistant tasks, such as arranging coffee, meals, and personal errands
- Maintain discretion when handling highly sensitive and confidential information
- Assist at events after hours or on weekends, as needed
- Assist with social posts, content ideas and captions for Instagram and Linked In
- Minimum of 5 years of experience in a related support position
- BA/BS from a college or university
- Excellent Microsoft Office skills (Word, Excel, PowerPoint, and Outlook)
- Dynamic and proactive, comfortable in a fast‑paced environment
- Experience in or knowledge of the media, fashion, and design industries is a plus
- Proactive go‑getter; no task is too big or too small
Salary, 401K, Benefits (medical, dental, vision), Paid Vacation (12 days the first year plus 5 sick days; office closed Christmas to New Year’s).
