A private family office supporting an entrepreneur and principal with global business and personal interests seeks a highly organized, financially astute professional to assist with day-to-day financial administration, reporting, and operational support. This position will work closely with the Principal, an existing CPA, and the family’s executive assistant to ensure the seamless coordination of financial and personal matters.
Remote role. Candidates should be able to travel into Manhattan, NY as needed. Exceptional candidates on the East Coast will be considered.
Key Responsibilities- Manage payment of bills, invoices, and recurring obligations.
- Handle financial transactions, including reallocation of funds across accounts and entities.
- Maintain accurate monthly reporting of all transactions, account balances, and cash flow summaries.
- Coordinate with CPA on tax preparation and ensure timely submission of financial materials.
- Assist in maintaining and improving internal accounting and reporting systems.
- Monitor incoming mail and manage correspondence.
- Schedule meetings, coordinate travel, and handle logistics for both personal and professional matters.
- Support communication with family members and professional advisors.
- Assist in organizing and maintaining digital and physical records.
- Work closely with the existing CPA to learn established processes and systems
- Provide back‑up support to the existing Executive Assistant as needed.
- Exercise utmost discretion, confidentiality, and professionalism in all matters.
- CPA or equivalent accounting qualification preferred.
- 5–10 years of accounting experience, ideally with exposure to family office, private client, or high‑net‑worth environments.
- Strong understanding of cash management, financial reporting, and personal accounting systems (e.g., Quick Books, Excel, or equivalent).
- Proven ability to handle sensitive information with discretion and integrity.
- Detail‑oriented, proactive, and comfortable working independently with minimal supervision.
- Flexible and able to support a principal who divides time between Los Angeles, New York, and Europe.
