Assistant to Director of Child Care (DHQ)
Under the supervision of the Director of Child Care, the Assistant to the Director will provide comprehensive administrative support for all Child Care programs within Social Services of Greater New York. The role involves helping to increase enrollment, improving service delivery, and ensuring compliance with all applicable policies and regulations.
Responsibilities- General office tasks: filing, copying, managing invoices, ordering supplies, and processing Human Resources personnel and office-related paperwork.
- Review documents for accuracy and compliance with SSGNY policies and procedures.
- Transmit required documentation to the Payroll Department promptly.
- Assist the Director with ordering, receiving, and distributing supplies to staff and participants.
- Maintain and track staff PTO, work schedules, and ensure adequate coverage.
- Serve as a substitute at Child Care program sites as needed.
- Apply policies and procedures of DOE, CACFP, DOH, and SSGNY to support the Director in interpreting and enforcing regulations.
- Assist with DOH and DOE tracking requirements, mandates, and documentation during audits.
- Maintain Union staff dues, Welfare Fund Medical, and CIRS deductions, reporting updates to the Director.
- Update DOE PETS Tracker and provide data entry reports.
- Support enrollment management via DOE My Schools and Vendor Portal attendance.
- Coordinate staff professional development trainings.
- Prepare monthly enrollment reports.
- Provide support to educational directors and teachers on curriculum-related challenges.
- Collect and report end-of-fiscal-year closeout data (attendance, enrollment, fee summaries, vendor listings, inventory).
- Monitor legislation and regulations affecting Child Care and assist in developing and implementing an annual strategic plan.
- Travel to all Child Care program sites to assist the Director in monitoring staff and program participants.
- High School Diploma plus 3–5 years of administrative experience or 5 years in a Child Care–related field such as teaching or social services.
- Proficiency with Microsoft Office.
- Excellent organizational, writing, and communication skills.
- Respect and consideration for participants and families served.
