Location: New York
Overview The Executive Assistant will provide comprehensive support to the Managing Director while also overseeing various office management tasks in our small office environment. The ideal candidate should be adept at multitasking, possess excellent communication skills, and have a keen eye for detail. This position will sit in our new office in Morristown New Jersey 07960 which is being built out now, Interviews will start end of September 2023.
The salary range for this role is $80k to $100k plus YE bonus; however, Bayview considers several factors when extending an offer, including but not limited to, the role and associated responsibilities, a candidate’s work experience, education/training, location and key skills. Person will also be eligible for superior Benefits. Responsibilities Act as a key business partner to executives. Coordinate internal and external meetings Manage multiple complex calendars Maintain a high level of confidentiality at all times, discernment and judgment, act as an extension and representative of your executives Help with event planning (internal, virtual, and onsite) and space planning Attend some business meetings to gather notes and action items / next steps Prepare PowerPoint deck structure and assemble input from business leaders for weekly business meeting and monthly staff meetings Plan acknowledgements and virtual/in person celebrations for team (launch of new product, meeting key performance indicators, etc.)
and team member (birthdays, work anniversaries) milestones Provide administrative support for projects within the group. Maintain office supplies inventory, anticipate needs, and place orders when necessary. Manage office budgets, expenses, and invoices, ensuring accuracy and adherence to policies. Coordinate office equipment maintenance and repairs as needed. Coordinate office events, meetings, and conferences, including logistics and catering arrangements. Liaise with building management and external vendors to address facility-related issues.
Support employee engagement initiatives and promote a positive office culture. Other duties as assigned. Qualifications Expert-level skills with Office 365 Experience prioritizing multiple projects Strong organizational skills Demonstrated ability in being proactive Excellent written and verbal communication skills Ability to pay attention to detail 8+ years of experience providing administrative support to 1 or more executives 8+ years of calendar management, coordinating travel logistics, and expense report management experience for 1 or more executives BA/BS preferred This role is hybrid in Morristown, NJ with some days in the office required Certifications, Licenses, and/or Registration N/A Physical Demands and Work Environment The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
