About the TeamThe Wall Street Journal's Opinion section is seeking a New York‑based administrative assistant to support journalism and daily operations. The role involves clerical duties, ad‑hoc projects, and coordination of staff and editorial board meetings.
About the RoleThe assistant will work closely with support staff members and the Opinion managing editor to keep the department running smoothly. Responsibilities include managing office administration tasks, coordinating meetings, handling administrative support to the editorial team, and ensuring effective communication with VIP guests.
You Will:- Assist the Business Manager with office administration projects and basic business operations for Opinion, such as answering department phone calls, document scanning, printing, equipment maintenance, supplies, onboarding and offboarding employees, internship programs, and award submissions.
- Assist Opinion's Managing Editor and her team with administrative work, including correspondence, calendar management, travel booking, scheduling, coordinating meetings, event logistics, and expense report preparation.
- Coordinate domestic editorial meetings for the editorial board members, including scheduling, set‑up, greeting guests, arrangements for refreshments/catering, and coordination with Reception and Security.
- Perform key administrative tasks for the Review and Outlook (Rando) section, including maintaining an organized file system, updating and distributing daily Rando lineups, tracking bylines, maintaining records of unbylined content, and producing the quarterly Edit Log report.
- Order and manage mobile device requests for editorial staff, coordinating with IT as needed.
- Provide support on expense accounting questions and Concur policy guidance.
- Ensure seamless maintenance of office operations, backing up team members during scheduled and unscheduled time off.
- Assist in coordinating participation of editorial board members in journalism events and presidential conventions.
- Sort and deliver mail, open book galleys, and review copies for the Books team.
- 3+ years of proven administrative experience
- Undergraduate degree preferred
- Knowledge of WSJ Editorial Page a plus
- Interest in current events
- Strong teamwork and collaboration skills
- Very detail‑oriented with strong organizational skills
- Excellent verbal and written communication skills
- Ability to prioritize tasks, manage time, and work independently
- Familiarity with video conferencing
- Copy editing and proofreading experience
- Professional demeanor when dealing with VIP guests of the editorial board
- Proficiency with Concur, Excel, SAP, Zoom, and G‑Suite (Gmail, Google Calendar, Drive, Docs & Sheets)
