Operations Coordinator – Operations Coordinator

Position Summary
reporting to the Senior Executive Director of Finance & Operations, the Operations Coordinator supports the day‑to‑day operations and logistics of the Vagelos College of Physicians and Surgeons Office of Development (VPS OOD). The role ensures the integrity of office spaces, coordinates vendor relationships, manages office supplies, and provides general administrative support.

Responsibilities
  • Maintain overall office integrity, including organization of supplies and common areas; monitor and reorder supplies, unpack deliveries, and coordinate repairs and special service requests – 25%
  • Serve as liaison between CUIMC Facilities, Telecom, and other service groups to process requests, confirm billing, and track completions – 25%
  • Manage vendor accounts, contracts, invoicing, and payments; reconcile Purchasing and Travel cards; assist with Finance related tracking – 25%
  • Receive and sort USPS mail, packages, and deliveries, notify recipients, and welcome guests – 15%
  • Provide general administrative support to senior leadership, including calendar management – 5%
  • Assist with gift processing and special projects as assigned – 5%
Minimum Qualifications
  • Bachelor’s degree or equivalent in education and experience required
Preferred Qualifications
  • Advanced experience with Microsoft Office software
  • Proficiency with Windows PC software
  • Experience with Salesforce
Other Requirements
  • Highly organized, professional, and detail oriented with strong written and verbal communication skills
  • Excellent interpersonal and customer service skills, able to collaborate with staff at all levels
  • Resourceful, proactive, and independent, with a focused self‑starting attitude
  • Ability to lift heavy items, unpack, and sort packages
  • Hybrid role
