About the role
Are you an energetic, detail-oriented professional who thrives on organization and keeping operations running smoothly? We are looking for an additional HVAC Service Coordinator to join our team and be the central hub of communication between our clients, service technicians, and management team. This is a pivotal role where your skills in scheduling, problem-solving, and customer service will directly impact the efficiency of our field operations and the satisfaction of our clients.

Day-to-day tasks
- Serve as the first point of contact for incoming service requests from clients.
- Generate and manage work orders, ensuring accurate and timely dispatching of field technicians.
- Check technicians in and out daily, keeping schedules and assignments on track.
- Review, organize, and distribute field reports for accuracy and completeness.
- Order parts and materials, confirm deliveries, and track inventory to support field operations.
- Log and update completed work order information in our database.
- Prepare, update, and distribute service reports, including open work orders, maintenance histories, and timesheets.
- Assist with assembling billing paperwork to ensure smooth invoicing.
- Prepare and price service proposals, while following up on pending quotes with clients.
- Provide general administrative support as needed to keep service operations running efficiently.
What we are looking for
- Minimum of 5 years in service coordination, dispatch, or related administrative role (HVAC or construction industry preferred).
- Strong organizational skills with the ability to manage multiple tasks and schedules simultaneously.
- Proficient in Microsoft Office (Word, Excel, Outlook, Access); experience with service management software is a plus.
- Excellent verbal and written communication skills to interact effectively with clients and team members.
