Hansa Biopharma is a fast‑growing, commercial‑stage biopharmaceutical company pioneering innovative treatments for patients with acute or complex immune disorders. Our headquarters are in Lund, Sweden, and we have operations worldwide.
Position summaryThe role supports the Chief Operating Officer (COO)/US President and Chief Legal Officer (CLO). It will be based in our NYC office and requires onsite presence.
Key tasks and responsibilities- Manage calendars, meetings and appointments for COO and CLO
- Coordinate travel (flights, trains, hotels, etc.) for COO and CLO, both domestic and international
- Plan and coordinate onsite and off‑site meetings with internal and external stakeholders
- Manage conference and congress registrations and support
- Support internal and external meetings and handle confidential information
- Lead or support ad‑hoc projects as assigned by COO and CLO
- Support the establishment of the NYC office, acting as main point of contact with property manager for work orders and notices
- Manage daily office operations, vendors for cleaning, catering and office materials
- Maintain office cleanliness and manage incoming calls, mail and deliveries
- Organize office events and collaborate with Executive Assistants in Sweden for seamless coordination
- Provide support to other C‑suite executives visiting NYC, as requested
- Degree from an accredited college or university
- 10+ years of experience as an Executive Assistant
- 5+ years supporting C‑suite executives, preferably in pharma/biotech
- Proficiency with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams) and other systems (Contract Management, SharePoint, Travel & Expenses, Zoom)
- Strong organizational, communication and discretion skills
- Capacity to manage multiple, sometimes conflicting priorities in a fast‑paced environment

Estimated salary range$85,000–$100,000 annually (actual salary depends on qualifications, experience, location and salary regulations).
LocationOn‑site in NYC (Manhattan). This is not a remote or hybrid position.
