Title: Program Assistant

Location: Mount Eden Child & Family Care Center, 1501 Jerome Ave., Bronx, NY
Reports To: Site Director
Salary Range: $39,990.19 – $44,218.43 per year (benefits include life insurance, 401(k) plan, vacation, personal and sick time‑off)
Date: December 2025
Schedule: Monday – Friday, 8:00 a.m. – 4:00 p.m. or 9:00 a.m. – 5:00 p.m. (schedule may vary)
Job Summary: Responsible for administrative and program support services for the Early Childhood Programs. Includes eligibility, recruitment, selection and attendance efforts to maintain full funded enrollment for all program options. The position will evolve during the start‑up phase.
Education, Experience, and Skill Requirements- Associate Degree or Bachelor’s Degree in Business Administration or related field required.
- Excellent oral and written communication skills; some administrative experience preferred.
- Excellent interpersonal and collaborative skills.
- Strong organizational skills and ability to multi‑task and manage time effectively.
- Proficiency in Microsoft Word and Excel.
- Experience with community resources and ability to foster professional relationships with families.
- Proficient use of public transportation.
- Desire to learn Head Start Performance Standards and other fiscal requirements.
- Meeting all employee health requirements in Head Start Performance Standards/Head Start Act 2007.
- Bilingual English/Spanish preferred.
- Maintain communication with families and facilitate intake for new families.
- Assist with budgeting, supply ordering, vendor follow‑up, travel and expense reporting, CACFP and parent fee reports.
- Support teachers with classroom administrative tasks and, when needed, translate during home visits or bus transports.
- Handle clerical functions: answering phones, translating, mail distribution, filing into master binders and child files, greeting parents.
- Track attendance, enrollment, volunteers and in‑kind contributions in data systems.
- Process staff and volunteer forms/documents.
- Manage inventories for janitorial, office, and kitchen supplies.
- Maintain waitlist database and lead year‑round recruitment plans and outreach events.
- Strategize recruitment methods, develop outreach plans, and implement annual outreach to increase visibility and enrollment.
- Develop community partnerships in the Bronx.
- Ensure funded enrollment levels and waiting lists are maintained; assist in filling vacancies.
- Participate in annual self‑assessment, community assessment and ongoing monitoring.
- Assist with ERSEA audit reviews and risk management activities.
- Manage partnership budget functions and billing in coordination with the fiscal monitor.
- Perform other center‑related duties related to enrollment, scheduling, and parent communication.
- Liaison for Cool Culture participation and manage required paperwork with families.
- Execute other projects and fiscal responsibilities as assigned.
- Clear NYS DOI fingerprint screening, NYS Central Registry clearance, Sex Offender Registry clearance, three reference checks, physical examination with updated TB test, Tdap, MMR, varicella (fees may apply).
- Meet all employee health requirements in Article 47 (DOHMH) and Head Start performance standards.
- Mandated Reporter training certificate (every 2 years) and compliance with agency policies on child abuse reporting.
- Obtain First Aid/CPR and preventive infectious disease certificate within the first year of employment.
