Position Overview
The Temporary Contract & Records Compliance Coordinator supports HR operations by managing contract coordination and performing comprehensive personnel file audits. This role ensures that all student and resident agreements are accurate, complete, and processed in compliance with organizational standards. The Coordinator serves as the key liaison within CHS, facilitating smooth agreement administration and maintaining accurate records.
Key Responsibilities- Act as the central liaison for all student and rotation agreements within CHS.
- Review agreements prior to submission to ensure correct templates are used and all required fields are completed.
- Verify the status of existing agreements and identify when new or updated agreements are needed.
- Communicate with relevant staff to initiate or renew agreements and ensure timely follow-up.
- Maintain and update the contract database.
- Develop and manage a tracking system for active agreements, key dates, and execution statuses.
- Upload finalized agreements and distribute fully executed copies to appropriate personnel.
- Ensure compliance with internal policies and processes related to contract administration.
- Support HR operations with ad hoc administrative tasks as needed.
- Review personnel documentation in the HRIS system for completeness and accuracy, and remediate missing or incorrect records.
Skills & Qualifications
- Prior experience in contract administration, legal documentation, or administrative coordination.
- Ability to review documents for completeness, formatting, and compliance with organizational standards.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office, particularly Excel and Word.
- Ability to manage multiple priorities and work independently.
