Position Overview:The Executive Assistant & Office Manager
- Luxury Beauty will serve in a highly visible dual role, providing dedicated executive support to the CEO while overseeing the day-to-day operations and experience of the corporate office. This position requires someone who can seamlessly move between sophisticated executive support and hands-on office management. The ideal candidate is highly organized, proactive, polished, service-oriented, and accustomed to operating with discretion in a fast-paced environment.
Candidates must have previous professional experience within the beauty industry. Experience supporting senior leadership within a luxury, prestige, or consumer-facing beauty organization is strongly desired. The successful candidate will anticipate the CEO's needs, manage complex priorities with minimal oversight, and ensure the corporate office consistently reflects the high standards expected within a luxury beauty environment.
- Luxury Beauty:
- Provide proactive, high-level administrative support directly to the CEO.
- Manage a complex and frequently changing executive calendar, including meetings, appointments, and competing priorities.
- Proactively identify scheduling conflicts and determine appropriate solutions.
- Coordinate domestic and international travel, itineraries, accommodations, and related logistics.
- Organize internal and external meetings and ensure the CEO is appropriately prepared with necessary materials and information.
- Prepare and update presentations, decks, reports, recaps, and other executive materials.
- Support leadership meetings, Board meetings, special events, and other executive engagements.
- Serve as a key point of contact for employees, executives, vendors, and external partners interacting with the CEO.
- Manage executive correspondence, contacts, expenses, and other administrative responsibilities.
- Handle highly confidential and sensitive information with discretion.
- Maintain and update the company organizational chart in partnership with HR.
- Coordinate complex activities, conferences, meetings, and executive travel across multiple stakeholders.
- Assist the CEO with day-to-day technology needs and coordinate with IT when necessary.
- Support special projects and evolving business priorities on behalf of the CEO.
- Take ownership of the organization, presentation, and daily operations of the corporate office.
- Ensure the office, conference rooms, and shared spaces remain polished, organized, welcoming, and meeting-ready.
- Maintain organized storage of beauty products, samples, supplies, and other company materials.
- Manage office supplies, hospitality needs, mail, packages, deliveries, and courier services.
- Manage relationships with office vendors and service providers and assist with invoices and service coordination.
- Partner with HR, IT, Finance, and other internal teams on workplace needs and initiatives.
- Proactively identify opportunities to improve office processes, organization, and the overall employee and guest experience.
- Assist with additional executive, administrative, and workplace projects as needed.
- Luxury Beauty:
- 5+ years of Executive Assistant, executive support, office management, or closely related experience.
- Professional experience working within the beauty industry is required.
- Previous experience supporting a CEO, Founder, C-suite executive, or other senior leader.
- Strong experience with complex calendar management, scheduling, meeting coordination, and executive travel.
- Ability to successfully balance high-level executive support with hands-on office management responsibilities.
