Reporting to the Assistant Director for Process Improvement, the Portfolio Management (PfMO) Assistant will work as part of a team and independently. Candidate must be able to demonstrate a professional demeanor, have strong administrative and interpersonal skills to actively listen and communicate effectively when interacting with Senior Leadership and Business Stakeholders. Candidate will work on projects that give hands‑on experience with IT tools, project management methodology, business analysis, quality assurance, and change management.
EssentialFunctions
- Supports the PfMO with administrative tasks (ei. Scheduling meetings, creating agendas, taking minutes, tracking action items, creating presentations, proof read documents, etc.).
- Assist with communication to project sponsors and stakeholders.
- Helps with the creation and curation of training materials, including videos, screen recordings, documentation, and handouts.
- Identifies ways to improve the usability and layout of new and existing project management documents.
- Supports data collection, cleaning, and reviewing of project data to create reports for project portfolios and develops data-driven infographics.
- Assists with testing of PM software functionality.

Interest in technology and project management.

Excellent Google Drive (docs, sheets, slides, forms, etc.) and MS Office skills
Easily adapt to varied roles on teams, from follower to leader.
Able to change the approach or method to best fit the situation.
Able to complete projects with limited supervision, take ownership, and ask for help if needed.
Preferred QualificationsJunior, senior, or current graduate student pursuing studies in Software Engineering, Computer Science, Information Science, Information Systems, Business Management, Business Administration (or a related field) or equivalent work experience.
