Location: New York

The Production Associate partners closely with the Content Manager and the Photo & Video Producer to manage and distribute all photo and video production requests from internal clients, including Marketing, PR, Digital Marketing and Visual Merchandising. This role is responsible for ensuring all merchandise required for photo and video shoots is secured, tracked, and delivered in a timely and organized manner.

The Production Associate provides production and creative support under the direct supervision of the Content Manager, Creative Services.

Key Duties, Responsibilities and Accountabilities
  • Work closely with the Marketing and Merchandise Planning teams to ensure all products required for shoots are available and delivered on time.
  • Maintain full merchandise control from the vault to the shoot and back to the vault.
  • Ensure all products are trafficked to and from photo shoots in a timely manner.
  • Coordinate security for all external shoots.
  • Act as a liaison between Creative and Marketing teams, communicating product availability and key updates.
  • Coordinate with the Product Development team to track and receive all new products for the in-house photographer.
  • Ensure all new product photography is captured for PR and web purposes.
Production Coordination
  • Support the Photo & Video Producer in maintaining project integrity for all shoots.
  • Generate shot lists and ensure all products arrive on set on time.
  • Establish naming conventions and metadata standards prior to each shoot.
  • Organize props and set materials.
  • Provide administrative support by reconciling invoices and routing them to appropriate departments for billing.
  • Partner with the in-house photographer to coordinate all workshop photography.
  • Track and maintain vendor portfolios.
  • Assist with shoot scheduling.
  • Provide stylist prep assistance during shoots as needed.
  • Perform additional production-related tasks as required.
  • Manage all retouching releases for photo and video.
  • Collect files from internal and external photographers and ensure they are properly backed up on the server.
  • Create retouching releases in collaboration with designers, the Senior Print Production Manager, and Content Manager.
  • Prepare ISS, gather designer markups, and coordinate with photographers and production teams to ensure all files, comps, and data are ready for release.
Image Asset Management
  • In charge of Content Platform asset management from project initiation through completion, ensuring all photos, videos, and music assets are properly uploaded with complete metadata on a monthly basis.
  • Organize the creative server and Content Platform folder structures, including the Creative Photo Store and backup drives.
  • Ensure file naming conventions are consistently applied across all assets.
  • Coordinate and traffic all digital assets across internal teams and external partners.
Administrative Support
  • Assist the Photo & Video Producer with miscellaneous departmental needs.
  • Maintain supplies for the Photo Department.
  • Coordinate packaging and shipping as needed.
  • Perform additional administrative tasks as required.
Job Qualifications
  • 3-5+ years of experience in photography and video production.
  • 3-5+ years of in-house creative or agency experience.
  • Experience in high-end advertising or luxury goods is required.
  • Exceptional organizational and communication skills with the ability to multitask.
  • Strong analytical, organizational, and problem-solving abilities.
  • Excellent verbal and written communication skills.
  • Ability to perform in a fast-paced, high-energy environment.
  • Experience managing multiple overlapping photo and video shoots.
  • High level of attention to detail and accuracy.
  • Strong interpersonal skills.
  • Proficiency in Microsoft Office applications.
  • Solid understanding of photography, video, and image formats.
  • Working knowledge of Adobe Creative Suite and other relevant industry tools preferred.
