Summary
Provide critical support to Fragrance sales from the brief to the win process. Facilitates the timely delivery of samples, pricing, and documentation. Resolves issues that arise during the brief-to-win process.
Essential Duties & Responsibilities- Coordinates and executes all sales administrative functions, including entering projects, replying to clients’ requests, entering and updating briefs promptly, and preparing sample requests for Fine Fragrances.
- Serves as a liaison between Account Manager and Evaluation, Perfumery, Sampling, Application Lab, Customer Service, Regulatory, and Marketing in all aspects of account responsibilities.
- Manage project flow to ensure flawless execution and act as liaison between client and internal personnel.
- Maintain and manage all pertinent project information in Trifoil (adoptions, selling prices, base updates).
- Manage customer requests for Regulatory documents.
- Oversee the sample desk, prioritize SRs.
- Schedule and attend project meetings.
- Occasionally hand‑deliver samples to NYC clients.
- Review and update the NYC weekly status chart.
- Occasionally cover front desk functions.
- Proficiency in Trifoil, Samtrak, WERCS, Oracle preferred.
- Knowledge of industry regulations and processes preferred.
- Ability to work on many projects simultaneously while maintaining accuracy.

- Industry experience and software proficiency.
- Ability to manage complex projects.
- College graduate.
- Indoor office environment.
- Transport customer bases to the application lab, often in 5‑gallon pails, and occasionally hand‑deliver samples to clients in the NYC area.
