Office Specialist PRN – HCA Healthcare (Independence Park Imaging)

- Answer all incoming phone calls promptly and courteously, respond to voicemail messages, and redirect calls to the appropriate personnel.
- Navigate payer systems and websites to determine coverage and patient financial responsibility.
- Verify insurance and collect co‑pays, while updating patient demographics.
- Obtain pre‑authorization or medical necessity documentation for procedures.
- Run state license checks and OIG sanctions checks on providers, relay results to relevant parties.
- Schedule, reschedule, and register patients for procedures using Center’s IT systems.
- Manage release of information to providers and patients in a HIPAA‑compliant manner.
- Generate day‑end reports from Meditech for unresolved items.
- Scan, file, and manage paper documentation; fax or phone results as needed.
- Provide patient preparation materials and instructions, log dispensing activities.
- Sort incoming mail and process correspondence, including credit card payments and payment plan setups.
- Problem‑solve to ensure the best patient experience even when encountering barriers.
- Make outbound calls such as appointment reminders, missed appointment recovery, and schedule patients accordingly.
- Perform other related duties as assigned by the immediate supervisor.
- Coordinate and/or participate in orientation and training of new staff under guidance of the Center Director.
Skills and Abilities
- Knowledge of data entry techniques.
- Ability to learn and use various IT platforms.
- Understanding and ability to explain health insurance benefits.
- Effective communication with patients, referrers, insurance providers, and billing offices.
- Proficiency with computer, 10‑key calculator, fax machine, and photocopier.
- Strong organizational skills.
- Ability to establish and maintain effective working relationships with staff, referral sources, and patients.
- Capacity to maintain confidentiality and demonstrate integrity.
- High School Diploma or GED required.
- One year of customer service experience in a medical environment involving patient registration and application of health plan benefits preferred.
