Customer Service Coordinator – Vision Rehabilitation Service
Join State University of New York College of Optometry as a Customer Service Coordinator to engage with referral agencies and patients. The Coordinator will serve as the primary contact between the University Eye Center (UEC) and Vision Rehabilitation referral agencies, supporting the Service Chief with outreach initiatives and collaborating with outreach coordinators, managers, and staff.
Responsibilities:
• Provide exceptional patient service and coordinate with referral agencies and vendors.
• Schedule appointments, manage documentation and authorizations from agencies such as the New York State Commission for the Blind and the Department of Education.
• Oversee the ordering, receipt, and distribution of low‑vision aids.
• Use the Next Gen electronic health record and patient management system for insurance verification, obtaining pre‑authorizations for vision therapy services, tracking appointment trends, and ensuring optimal utilization of therapy sessions.
• Resolve issues independently and maintain accurate documentation of all inquiries and outcomes.
• Utilize and support the patient pre‑check‑in system, assist patients in completing pre‑visit requirements, and ensure compliance with established workflows.
• Train new staff members on front‑end systems and procedures, providing ongoing support.
• Assist with other administrative tasks as assigned by management.
Requirements:
- Two years of experience in customer service (preferably in healthcare, hospitality, call center, or client Service environment)
- Ability to work evenings and Saturdays
- Strong organizational skills and attention to detail
- Professional demeanor and exceptional verbal and written communication skills
- Knowledge of managed care and other third‑party payers
- Proficiency with Microsoft Office (Outlook, Word, Excel)
Preferred Qualities:
- Knowledge of insurance verification and authorization
- Experience with computerized Practice Management (PM) and Electronic Health Records (EHR)
- Bachelor’s degree; bilingual skills
Schedule:
- Monday and Sunday:
Off - Tuesday through Thursday: 11:00 am to 7:00 pm
- Friday and Saturday: 8:30 am to 4:30 pm
Salary and Benefits: Annual salary of $52,000, an annual leave package of 15 days, 13 paid holidays per year, and a generous benefits package. The department participates in the federal Public Service Loan Forgiveness (PSLF) Program.
