Job Description & How to Apply Below
Families reach out at a turning point, looking for the right support for a child with autism. You are the bridge from that first conversation to a clear, timely start of care. Your work decides whether communication, social, and play goals begin on schedule—or stall in missing paperwork, unclear eligibility, or a handoff no one owns. Done well, intake protects clinical capacity and gives every child a personalized path into learning.
Highlights- Turn new inquiries into complete, clinically ready intakes within the practice’s start-of-care timeline.
- Verify eligibility, benefits, and authorization status so treatment is not delayed by avoidable payer gaps.
- Capture developmental history, family priorities, and scheduling constraints that let clinicians match the right service pathway.
- Cut time to first session by aligning assessments, clinician availability, and family onboarding in one coordinated plan.
- Keep a same-day pipeline: accurate status, next action, and a handoff clinical teams can use without rework.
- Clear barriers—missing records, consent gaps, authorization holds, scheduling conflicts—before they stop a start of care.
- Document preferences, consents, and relevant risk notes so the child’s story travels intact into treatment.
- You work at the front of a child-centered ABA practice, alongside clinical leadership, authorization and billing, and scheduling. Day to day you use the practice management and clinical record system, phone, secure email, and a shared intake tracker. You report to the clinical or operations lead and schedule within real authorization and clinician capacity—not an unlimited caseload.
- Proven coordination of healthcare, behavioral health, or pediatric intakes from first contact through a clean handoff.
- Working command of insurance verification and prior-authorization steps that affect when services can begin.
- Ability to explain services plainly to families who are anxious, new to care, or navigating complex schedules.
- Documentation precise enough that clinicians and billers can act without a follow-up call.
- Fluency with scheduling systems and strict confidentiality standards, including HIPAA.
- Steady follow-through across many open cases, with deadlines you set and keep.
- Your speed and accuracy change how soon a child begins skill-building care.
- The work is relational and operational—not a scripted call queue.
- You partner directly with clinicians who individualize goals for communication, social interaction, and play.
- Intake quality here shapes the whole learning journey, not a one-time form.
