Kelley Drye & Warren LLP, a powerhouse firm with the heart of a boutique, is seeking an organized, detailed‑oriented self‑starter to join Kelley Drye’s Human Resources team. The Recruiting Assistant will have firm‑wide responsibility and will provide critical support for legal recruiting, and related legal personnel functions. This position works closely with the firm‑wide recruiting team (Director of Attorney Recruiting, Director of Legal Recruiting, Senior Legal Recruiting Manager, Legal Recruiting Coordinator), and the Director of Legal Personnel, but will also regularly interact with attorneys, managers and administrators throughout the firm.

Essential Functions: Recruiting
  • Assist with administrative aspects of lateral associate hiring:
    • Post jobs on firm website, Linked In, and various other job boards relevant to a particular search;
    • Support Recruiting Coordinator in maintaining accurate and up‑to‑date vi Recruit files on each submittal and candidate;
    • Assist with onboarding and orientation for new hires.
  • Assist with law student recruiting efforts, including outreach and on‑campus/EIW interview programs, and the callback interview and offer process:
    • Develop and maintain relationships with law school career services offices and student organizations at key feeder schools to coordinate firm participation in Early Access and OCI/EIW programs, and sponsorship and participation in engagement/outreach activities;
    • Collaborate with Recruiting and Workforce Engagement Teams to develop and execute engagement programming;
    • Represent the firm at student engagement programs - virtual, in‑office and on‑campus;
    • Support the 1L and 2L law student recruiting process from screening interviews/on‑campus recruiting to facilitating the callback interview and offer process;
    • Create and maintain tracking documents, the Flo Recruit event and status tracker systems, and vi Recruit candidate files.
  • Assist with the planning and execution of the firm‑wide summer associate program:
    • Support orientation planning and execution;
    • Plan, calendar and host summer associate social events;
    • Coordinate and calendar lunches with attorneys and administrators;
    • Draft and distribute “The Week Ahead” emails to all summer associates and the HR Department to keep everyone abreast of any changes to the summer associate program calendar;
    • Solicit and collect evaluations for the mid‑summer and end of summer review processes;
    • Handle other logistics as required.
  • Provide back‑up support to Recruiting Coordinator for the summer associate work assignment process.
  • Coordinate with the firm‑wide recruiting team to create a cohesive experience throughout the firm.
Legal Personnel
  • Assist with monitoring attorney bar admissions across the firm by performing an online quarterly bar audit and maintaining results in a master tracking spreadsheet, including outreach to attorneys to ensure compliance.
  • Assist with associate year‑end and mid‑year review processes, including maintenance of key spreadsheets.
  • Assist with first‑year orientation programming, as needed.
Other
  • Maintain personnel files and vi Desktop (vi Recruit, Performance Management) records.
  • Create and maintain internal tracking systems/documents.
  • Compile data in response to external surveys and other requests.
  • Help coordinate social and morale events and other special events logistics, including monthly Kelley Query series.
  • Draft summaries of recent initiatives, programs and accomplishments to feature in firm‑wide communications.
  • Perform various administrative duties including processing of expense reports and invoices.
  • Respond to attorney requests and direct attorneys to appropriate firm resources.
  • Additional related responsibilities and tasks as directed by team.
Qualifications/Basic

Job Requirements:

  • Bachelor’s degree.
  • Previous law firm or professional experience preferred.
  • Strong written and oral communication skills.
  • Discretion, good judgment.
  • Ability to take initiative and juggle multiple priorities.
  • Strong organizational skills and attention to detail.
  • Must be team oriented.
  • Proficiency in Microsoft Office Suite; experience with applicant tracking systems and evaluation platforms a plus.

The salary range displayed is specifically for those potential hires who will work or reside in New York, NY if selected for this role. Any offered salary is determined based on internal equity, internal salary ranges, market data/ranges, applicant’s skills and prior relevant experience, certain degrees, and certifications (e.g., JD/technology) for example. New York Salary Rate:
Low $55,000 High: $60,000
