About the role…
We’re looking for a Talent Acquisition Coordinator to deliver a seamless, high-touch candidate experience and keep interview operations running smoothly. You’ll handle end-to-end interview logistics, communicate proactively with candidates and interviewers, and collaborate closely with recruiters and hiring teams. This role is hands-on, detail-oriented, and fast-paced—ideal for someone who loves orchestrating complex schedules, solving problems in real time, and creating memorable candidate experiences.
This is a 1-year contract position with the option to renew based on business needs. While this is a hybrid position, in-office presence is required on days when candidates are visiting our NYC office or when operational needs arise—like prepping a room or picking up swag
-sometimes on short notice.
- Own interview scheduling and rescheduling across time zones and teams, ensuring accuracy, timeliness, and a smooth flow day-of (rooms, links, AV checks)
- Serve as the primary point of contact for candidates, sharing clear logistics, answering questions, and upholding Duolingo’s brand throughout the process
- Host interviews and candidate visits in our NYC office, by greeting candidates, giving tours, and helping them feel at ease throughout their visit
- Partner closely with recruiters, hiring managers, EAs, and interviewers to align on plans, resolve conflicts, and keep stakeholders informed
- Maintain system hygiene in our ATS and scheduling tools; update candidate statuses and templates with high precision
- Help identify small process improvements that increase speed, quality, and candidate care across coordination workflows
- Provide coverage and flexibility for Talent Acquisition Coordination and Operations teammates during PTO, leave(s), or spikes in demand as determined by the Talent Acquisition Operations team.
- 1+ years of experience in recruiting coordination or as an executive assistant
- Experience with tools like Google Suite, Zoom, Slack, Greenhouse, and Guide (or similar ATS/scheduling tools)
- A proactive, collaborative spirit and “no task too small” mentality
- An eye for detail, excellent organizational skills, and the ability to prioritize in real time when handling last-minute changes or busy timelines
- Exceptional interpersonal skills and a talent for creating thoughtful, inclusive, and memorable experiences
- Ability to lift up to 20 lbs
- Flexibility to work outside standard hours occasionally to support interviews or events
- Ability to work independently and cross-functionally with partners across all levels of the company
