Legal Executive Assistant – Mesidor PLLC

Base pay range: $80,000.00/yr – $/yr

Qualifications:
  • Bachelor’s degree required;
    Paralegal Certificate or JD coursework a plus
  • Minimum 5 years of experience as an Executive Assistant or Legal Assistant (preferably in litigation or employment law)
  • Strong proficiency in Microsoft Office Suite, Adobe Acrobat, and legal case management software such as Neos, Clio, or similar
  • Excellent written and verbal communication skills; organizational skills, attention to detail, and ability to manage multiple priorities
  • Demonstrated professionalism, confidentiality, and emotional intelligence
  • Ability to work independently and as part of a team in a deadline‑driven environment
Responsibilities:
Executive Support
  • Manage the Founding Partner’s complex calendar, appointments, travel arrangements, and daily schedule.
  • Coordinate meetings, court appearances, and speaking engagements.
  • Draft, proofread, and prepare correspondence, memoranda, and reports.
  • Handle confidential information with the utmost discretion.
  • Serve as the liaison between the Partner and internal/external stakeholders (clients, opposing counsel, vendors, and staff).
  • Anticipate needs, streamline administrative processes, and proactively address issues before they arise.
Legal Administrative Support
  • Prepare, format, and file pleadings, motions, and other legal documents in federal and state courts.
  • Maintain case files, docket deadlines, and discovery calendars.
  • Conduct basic legal research and summarize findings for attorney review.
  • Manage document production, case exhibits, and trial preparation materials.
  • Coordinate with paralegals and associates to ensure timely filing and case updates.
Operations and Project Management
  • Support firm‑wide initiatives and special projects led by the Founding Partner.
  • Assist in client intake and management, including drafting engagement letters and tracking case updates.
  • Prepare reports and presentations for firm meetings and speaking engagements.
  • Help oversee marketing, community engagement, and business development activities as directed.
