Earnings Potential: $ 91,990 - $125,240

This position is critical in ensuring the smooth operation and continuous improvement of office services, directly impacting the overall efficiency and effectiveness of the organization, specifically at Randalls Island and backup to 2 Broadway locations.
Responsibilities- Oversee daily operations of the Office Services unit.
- Liaise with Randalls Island Building Services for service repairs, space alterations /conversions, security, and other related office functions.
- Ensure timely distribution of mail across the agency via inter-office and external carriers.
- Approve and execute purchases in the absence of the Assistant Director, based on departmental justifications, costs, and other criteria.
- Communicate with Senior Management regarding activities and projects impacting staff at Randalls Island, including mail run delivery changes.
- Coordinate and plan space utilization for new hires and employee relocations within the B&T Randall's Island location.
- Monitor and track inventory of copy room supplies and pantry items; ensure timely replenishment.
- Evaluate and recommend enhancements to office services, furniture, and equipment to improve cost efficiency and service delivery.
- Direct and develop assigned staff to ensure high-quality office services.
- Collaborate with the Randalls Island team to manage office space and services effectively.
- Provide input on strategic decisions impacting the Office Services unit.
- Assist the Assistant Director with long-term planning and forecasting for future needs
- Prepare income and outgoing mail for distribution as needed. Ensure the postage meter has sufficient funds and request increase as needed by the Assistant Director.
- Supervise and manage one office support staff member.
- Oversee inventory reconciliation responsibilities.
- Support the Assistant Director with special projects as assigned.
Bachelor’s Business Administration, Business Management, Public Administration, Management, Finance, or Planning preferred. Must have a minimum of seven (7) years related experience, including at least one (1) year in management or supervisory role in a large, multi-faceted organization.
An equivalent combination of education and experience may be considered.
Experience in dealing with people at a customer service level.
Experience in contract management.
Experience in management with highly complex systems preferred.
Must be a proven leader as a change agent and creative/innovative thinker with the ability to align business goals with solutions to drive process improvements.
Proficient in Microsoft Office Suite and document management software.
Excellent communication and interpersonal skills.
Proven ability to collaborate with a broad range of stakeholders and drive outcomes.
Demonstrated ability to effectively work in a high-profile, high-pressure environment.
Strong project management skills. Must have the focus and ability to deliver results, organizational effectiveness, and continuous improvement within tight deadlines
Must possess excellent team building, listening, problem solving, and prioritization skills.
Knowledge of records management, practices and principles.
Knowledge of computer systems, with specialized skill in using records management software.
PREFERRED
Knowledge of software products such as Visio, Power BI, Kronos, Tableau
Knowledge of HRIS Systems such as People Soft
