Role

Summary

Responsible for all import shipments and ensure on‑time delivery to support production and plant requirements at an optimum service quality level, availing the most competitive rate in the market.

Oversee the day to day import operations
  • Coordinate import shipments with forwarders at origin and destination; to ensure immediate uplift/loading into the first available and preferred carrier.
  • Closely coordinate with brokers at destination the urgency of shipment for seamless customs clearance paperwork processing to achieve the target material in‑house date and time.
  • Assertively suggest the most logical and applicable ship‑mode to buyers and vendors as internally coordinated with other team members, particularly for highly critical shipments.
  • Release pre‑alert to Buyers, Planners and Receiving team on a daily basis for manpower allocations and production run scheduling.
Shipment documentation processing and screening
  • Ensure that all import documents required for the application and approval of import permit are compliant with all regulations prior to shipment arrival.
  • Work closely with Purchasing and vendors to control/eliminate documentation issues and delivery delays due to use of incorrect consignee name, incorrect freight terms, incomplete documents from origin and wrong use of forwarder causing increase in freight‑in.
Compliance to company's safety target programs
  • Participate actively in the regular review and update of Hazard Identification Risk Assessment and Control (HIRAC).
  • Participate actively in the prevention of occurrence of safety incident and first aid cases.
  • Report near miss, unsafe acts, unsafe conditions, hazards including feedbacks during toolbox meetings.
  • Ensure that every shipment request from Purchasing is in compliance with the Import Logistics Freight Guide, a decision tool for all buyers and their Managers in coming out with the most practical ship mode at a lesser freight cost.
  • Support and consider the department's KPI on "Freight‑In% to MR$" in coming out with logistics proposal on all shipment executions.
Service Providers Monthly Scorecard Rating/Updating
  • Record the OTD or cycle time performance of each nominated forwarder.
Shipment Discrepancy and Bad Order Handling
  • Investigate and resolve receiving discrepancies including short shipments and damaged goods.
  • Document non‑conformance and communicate with purchasing for the corrective actions from the supplier, sending of replacements or issuance of credit notes.
  • Coordinate with Receiving and IQC for inspection, reporting and disposition of affected items.
  • Monitor and reconcile inventory transactions related to bad orders in coordination with receiving and inventory team.
  • Facilitate the disposal of confirmed scrap and maintain complete records for traceability and audit readiness.
Other Duties and Responsibilities
  • Responsible for carrying out the company's and government agencies' record‑retention policies.
  • Support the direction to ensure that all import documents on file or archives are in compliance with the required retention period for audit and future use.
  • Perform other tasks such as report generation, data analysis, or other import‑related tasks as may be assigned.
Qualifications
  • Education:

    Any 4 year course, preferably BS Customs Administration graduate.
  • Minimum work experience required: at least 2 years of relevant experience in importation.
