Office Operations Clerk

Location:New Jersey Office (In-Office, 8:00 AM – 5:00 PM)
Classification:Non-Exempt

What You’ll Do:

As the Office Operations Clerk, you will be the central point of contact for Office Services and Mailroom Operations. You will play a critical role in ensuring seamless internal communication and delivery services while maintaining the firm’s day-to-day operational needs.

  • Sort, scan, email, and deliver incoming mail and faxes
  • Manage copying, printing, scanning, binding, and media duplication (CD/DVD)
  • Handle all incoming hand deliveries and overnight packages (Fed Ex, UPS, etc.)
  • Schedule messenger services and stamp outgoing mail
  • Maintain inventory of office supplies and prepare order lists as needed
  • Stock supplies in mailroom, supply closets, and kitchen areas
  • Set up and maintain conference rooms before and after meetings
  • Maintain cleanliness of mailroom, kitchen, conference rooms, and common areas
  • Move and transport boxes or files to designated areas as needed
  • Troubleshoot and resolve issues with office equipment, including photocopiers and postage machines
  • Ensure timely reporting and resolution of maintenance problems
  • Accurately scan and record document receipt and mailing dates
  • Follow all written and verbal instructions to complete projects in a timely manner
What You’ll Bring:
  • Proficiency in Microsoft Office (Word, Outlook, Excel) and document management systems like iManage
  • Familiarity with office and mailroom equipment, including Konica, Pitney Bowes, and Kofax scanning tools
  • Ability to understand operating instructions and follow procedures for mailing and equipment use
  • Strong communication and organizational skills
  • Dependability, attention to detail, and a proactive, service-oriented mindset
  • Ability to multitask and maintain productivity under pressure
  • Physical ability to lift up to 30 pounds as needed
  • A team-oriented, self-motivated approach with a flexible and professional demeanor
  • Technical comfort with Outlook and standard office software
