Office Operations Clerk
Location:New Jersey Office (In-Office, 8:00 AM – 5:00 PM)
Classification:Non-Exempt
As the Office Operations Clerk, you will be the central point of contact for Office Services and Mailroom Operations. You will play a critical role in ensuring seamless internal communication and delivery services while maintaining the firm’s day-to-day operational needs.
- Sort, scan, email, and deliver incoming mail and faxes
- Manage copying, printing, scanning, binding, and media duplication (CD/DVD)
- Handle all incoming hand deliveries and overnight packages (Fed Ex, UPS, etc.)
- Schedule messenger services and stamp outgoing mail
- Maintain inventory of office supplies and prepare order lists as needed
- Stock supplies in mailroom, supply closets, and kitchen areas
- Set up and maintain conference rooms before and after meetings
- Maintain cleanliness of mailroom, kitchen, conference rooms, and common areas
- Move and transport boxes or files to designated areas as needed
- Troubleshoot and resolve issues with office equipment, including photocopiers and postage machines
- Ensure timely reporting and resolution of maintenance problems
- Accurately scan and record document receipt and mailing dates
- Follow all written and verbal instructions to complete projects in a timely manner
- Proficiency in Microsoft Office (Word, Outlook, Excel) and document management systems like iManage
- Familiarity with office and mailroom equipment, including Konica, Pitney Bowes, and Kofax scanning tools
- Ability to understand operating instructions and follow procedures for mailing and equipment use
- Strong communication and organizational skills
- Dependability, attention to detail, and a proactive, service-oriented mindset
- Ability to multitask and maintain productivity under pressure
- Physical ability to lift up to 30 pounds as needed
- A team-oriented, self-motivated approach with a flexible and professional demeanor
- Technical comfort with Outlook and standard office software
