Position SummaryThe Receptionist serves as the first point of contact for clients, visitors, and staff, creating a welcoming and professional environment that reflects the firm’s commitment to exceptional client service. This role is responsible for front desk operations, communication coordination, scheduling support, and maintaining security and confidentiality within the office.
Key Responsibilities Client & Visitor Experience- Greet clients and visitors warmly and professionally, ensuring they feel welcomed and attended to upon arrival.
- Provide a seamless and positive experience for all guests visiting the firm.
- Attend to client needs and special requests with a high level of professionalism and discretion.
- Maintain a friendly, approachable demeanor while addressing concerns and resolving issues promptly.
- Answer and route incoming phone calls efficiently; take accurate messages when necessary.
- Respond promptly to inquiries from clients, visitors, and employees, directing them to the appropriate departments or individuals.
- Serve as the central point of contact for internal and external communications.
- Relay messages accurately via phone, email, or in person.
- Track appointments, meetings, and visitor schedules to ensure smooth daily operations.
- Collaborate with attorneys and staff to schedule and coordinate meetings, conferences, and firm events.
- Assist with booking meeting rooms and arranging facilities, ensuring all required resources are prepared in advance.
- Monitor and control access to the premises, verifying visitor identification and enforcing security protocols.
- Respond calmly and promptly to emergencies or security incidents, notifying appropriate personnel or authorities as needed.
- Participate in safety drills and training to support a secure workplace environment.
- Actively participate in firm training programs, including use of the Cornerstone platform, to enhance skills and performance in the Receptionist role.
- Previous receptionist or front desk experience, preferably in a law firm or professional services environment.
- Strong communication, organizational, and interpersonal skills.
- Ability to multitask and remain composed in a fast-paced setting.
- High level of professionalism, discretion, and attention to detail.
- Proficiency with phones, email, scheduling systems, and office technology.
