We are looking for an organized Field Admin for our Newark, New Jersey office.
OverviewThe Field Administrative Assistant supports the team responsible for constructing a profitable, safe, high-quality project in accordance with all the Conti Standards. This position is responsible for assisting with administrative support.
Responsibilities- Payroll
- Processes new hires, terminations and layoffs
- Assist with onboarding paperwork
- Accurately enters the payroll daily.
- Complete daily and weekly audits to ensure all craft employees are correctly paid.
- Ensures all payroll issues are accurately and timely resolved
- Updates the Manpower Worksheet weekly for routing of paychecks
- Accounts Payable
- Accurately and timely notifies Accounts Payable regarding new vendors.
- Files, matches, and processes vendor invoices, purchase orders, and packing slips for validation by the Project Accountant/ Engineers
- Potential for extra language here regarding the processing of invoices for multiple jobs
- Enter Shop Pos and ensure Shop Invoices are sent to A/P for processing
- Ensure all receipts are processed for month end closings
- Copies invoices and back up data for the project files and the monthly client billing.
- Assists the Project Management team in processing paperwork, including invoices, application for payment, subcontract agreement, purchase orders, and labor cost reports.
- Enter equipment hours/run equipment utilization reports
- Input quantities
- Review equipment inspection reports/down time
- Inputting information into material/trucking logs
- Running additional cost reports for Project Accountant analysis
- Timely generates accurate affirmative action, EEO, and minority reports as required.
- Maintains a comprehensive and orderly project file system. Ensures the team adheres to the filing process.
- Sorts, opens, and date-stamps all mail daily.
- Ensures all office equipment functions properly.
- Additional office management duties, such as organizing/contracting cleaners, exterminators, maintaining office materials/supplies, etc.
- Timely assists the project submittal process including shop drawings and certifications.
- Assists the miscellaneous copying, typing, and binding of projects for all departments, assignments and projects.
- Ensures the timely distribution of company information to field workers.
- Other duties as required.
- 2+ years of office related experience (Construction preferred)
- Previous payroll and AP experience
- Excellent customer service, teamwork and people skills
- Self-directed, organized and self-motivated
- Ability to execute
- Strong attention to detail
- Able to multitask and work in a fast paced challenging environment.
- Ability and desire to learn and progress within your position.
- Proficient in Microsoft Suite
