The Youth Program Recruitment Coordinator is responsible for supporting and coordinating recruitment efforts across Unified Vailsburg Services Organization's (UVSO) childcare, preschool, after school, and summer camp programs.
The Coordinator will work closely with Family Workers, Site Directors, program staff, and administration to promote UVSO programs, identify prospective families, generate and follow up on recruitment leads, and connect interested families with the appropriate staff to complete the enrollment process.
The ideal candidate is outgoing, organized, community-focused, and comfortable engaging with families both in person and by phone. This position requires consistent follow-up and a proactive approach to identifying new opportunities to increase awareness and participation in UVSO programs.
ESSENTIAL DUTIES & RESPONSIBILITIES Program Recruitment- Recruit prospective families for UVSO childcare, preschool, after school, and summer camp programs.
- Promote UVSO programs and available enrollment opportunities throughout the Newark community.
- Develop and implement recruitment activities based on current enrollment needs and available program openings.
- Conduct outreach through telephone calls, community events, open houses, recruitment tables, flyer distribution, and other approved methods.
- Provide prospective families with accurate information about UVSO programs and direct them to the appropriate enrollment process.
- Conduct timely and consistent follow-up with families who express interest in UVSO programs.
- Assist with seasonal recruitment campaigns for preschool enrollment, after school programming, summer camp, and other youth programs.
- Work closely with Family Workers and designated program staff to support enrollment goals.
- Maintain communication with prospective families throughout the recruitment process.
- Follow up with families who have expressed interest but have not yet completed the enrollment process.
- Connect prospective families with the appropriate Family Worker or designated enrollment staff for application completion and required documentation.
- Track prospective families from initial inquiry through enrollment or closure of the recruitment lead.
- Identify barriers that may be preventing prospective families from completing enrollment and communicate those concerns to the appropriate staff.
- Maintain clear communication with enrollment staff to prevent duplication of outreach and ensure families receive consistent information.
- Identify opportunities to promote UVSO programs within the community.
- Build relationships with schools, community organizations, healthcare providers, local businesses, housing communities, churches, social service organizations, and other organizations serving children and families.
- Attend community events, resource fairs, school events, and other outreach opportunities to promote UVSO programs.
- Distribute approved recruitment materials throughout targeted areas.
- Identify potential community partnerships and referral sources that may support program recruitment.
- Represent UVSO professionally and positively during all community outreach activities.
- Maintain an organized recruitment pipeline of prospective families.
- Document recruitment leads, contact attempts, follow-up activities, referrals, and enrollment outcomes.
- Track the source of recruitment leads to help determine which outreach strategies are most effective.
- Monitor recruitment progress by program and identify programs requiring additional recruitment efforts.
- Provide regular recruitment updates to the Director of Operations and other designated leadership.
- Assist with preparing recruitment reports, enrollment updates, and outreach summaries as requested.
- Maintain confidentiality of all child and family information.
- Assist with planning and coordinating open houses, enrollment events, recruitment drives, and community outreach activities.
- Work with administration to ensure recruitment materials contain current and accurate program information.
- Maintain an adequate supply of approved recruitment materials for outreach activities.
- Provide feedback regarding frequently asked questions, family concerns, and community needs that may impact recruitment.
