Job Overview

The Radiation oncology Secretary plays a key role in supporting efficient daily operations within the Outpatient Radiation Oncology department. This position is responsible for registering and scheduling patients, maintaining accurate records, and ensuring seamless communication among staff, patients, and external partners. The role requires strong organizational skills, attention to detail, and the ability to work collaboratively in a fast-paced clinical environment.

The Secretary ensures complete and timely patient registration, verifies necessary authorizations, and supports billing processes by accurately dropping daily charges. The position also provides administrative support to the department, including managing telephone coverage, maintaining office supplies, and handling incoming mail. This role participates in daily huddles and rounds to effectively communicate departmental needs and updates. Proficiency in the electronic medical record (EMR) system and the ability to maintain organized filing and documentation systems are essential.

Qualifications

Required:

  • High School Diploma
  • 2 years medical office experience
  • 2 years customer service experience
  • Knowledge of working with EMR, and knowledge of CPT codes
Scheduling Requirement
  • Shift- 8:00am-4:00pm
  • Monday-Friday
  • Full Time /Day
Essential Functions
  • Register patients within the department
  • Schedule patients within the department
  • Maintains appropriate records and establishes departmental filing systems to ensure the expeditious retrieval of information so that department head and/or department staff can accomplish their responsibilities in time frames
  • Assist with achieving all charts
  • Answers telephone, divert calls, receives and relays messages accurately
  • Ensures and maintains adequate levels of office supplies and equipment
  • Participates in overall telephone coverage on behalf of the entire Department and maintains complete and accurate telephone/visitor messages for department personnel, assuring timely and accurate routing of messages in a professional and courteous manner at all times
  • Open incoming mail, screen for priority items and facilitate timely referral of issues to appropriate parties as instructed
  • Attend daily huddle within Outpatient Oncology departments and report back pertinent information to Radiation Oncology
  • Attends daily rounds within Radiation Oncology department. Order supplies for department as needed.
  • Knowledge of EMR
  • Drop billing charges daily
  • Knowledge of checking and ensuring patient have updated prior authorization for treatment
  • Collaborate with financial coordinators as needed
  • Performs other duties as assigned
