As an Administrative Assistant
, you will provide comprehensive administrative support to the Project Director, helping to ensure the efficient day-to-day operation of the project team. You will be responsible for managing schedules, coordinating meetings, handling correspondence, and supporting project administration while maintaining the highest levels of professionalism, confidentiality, and attention to detail
.
- Provide administrative support to the Project Director and wider senior leadership team as required.
- Manage complex calendars, appointments, and meeting schedules.
- Coordinate domestic and international travel arrangements, accommodation, and itineraries.
- Organise meetings, workshops, and project reviews, including agenda preparation, minute taking, and action tracking.
- Prepare presentations, reports, correspondence, and other project documentation.
- Liaise with senior leadership teams across partner organisations, the client, and Metlen's Head Office in Athens.
- Support visitor coordination, site visits, and logistics for project meetings.
- Maintain accurate electronic and hard-copy filing systems.
- Track actions, deadlines, and key deliverables to support project governance.
- Process expenses, purchase requests, and other administrative documentation as required.
- Support special projects and ad hoc administrative requests.
- Previous experience in an Administrative Assistant, Executive Assistant, Personal Assistant, or
- Project Administrator position.
- Experience supporting senior managers, directors, or project leadership teams.
- Excellent organisational and time-management skills with the ability to manage competing priorities.
- Strong written and verbal communication skills.
- High level of discretion when handling confidential information.
- Strong attention to detail and problem-solving ability.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint and Teams).
- Experience with in construction, engineering, energy, infrastructure, or major projects would be advantageous.
- A proactive, flexible, and professional approach to work.
