  • University Hospitals of North Midlands NHS Trust, inclusive of Black Country Procurement Group and North Midlands and Cheshire Pathology Service.

This will be the case for 7 calendar days from 03/03/2026 to 10/03/2026; following this the vacancy will be open externally.

Provide a quality reception/administration/appointment booking service within the Outpatient/Health Records Department, dealing confidentially, efficiently and courteously with enquiries from both internal and external customers, by telephone or face‑to‑face when working in the outpatients reception. Offer administrative support to clinical and non‑clinical staff as required and manage own workload without direct supervision, prioritising tasks, working on initiative and managing time effectively.

Main duties of the job

Deliver the above services and support, ensuring professionalism, confidentiality and efficient patient flow throughout the department.

Job responsibilities
  • Cover reception in the outpatients department, greeting patients on arrival for a clinic appointment, booking the patient in using the clinical system and directing patients to the appropriate waiting area.
  • Communicate non‑clinical verbal information precisely and effectively both internally and externally to patients, relatives and carers, taking into account communication difficulties such as old age, hearing loss, pain, fear, and language or learning difficulties.
  • Provide an efficient, customer‑friendly service to patients of MPFT, their families and carers.
  • Appoint, cancel and rearrange appointments as required using the Trusts patient recording system.
  • Answer telephone enquiries from the public and other healthcare departments/professionals.
  • Process appropriate letters related to the patients’ appointments.
  • Provide support and advice, maintaining communication and links with clinical and other staff within the department.
  • Support the day‑to‑day running of clinics, ensuring they are used to capacity.
  • Handle a varied workload requiring confidentiality, initiative, flexibility, and the ability to manage peaks.
  • Record accurate, confidential, and sensitive patient information.
  • Work methodically, under pressure, and multitask effectively.
  • Comply with Standard Operating Procedures, good practice and established precedents.
  • Demonstrate willingness to undertake further training, identify own development and training needs.

    • Basic computer/IT skills.
    Experience
    • Reception duties, e.g. telephone and computer work.
    • NHS experience / reception.
    Skills, Knowledge and attributes
    • Demonstrates an understanding of the importance of confidentiality.
    • Experience working on own initiative without direct supervision.
