We’re on the lookout for a superstar Workplace Manager, someone who’s organised, unflappable, and brings positive energy to every corner of the office. You’ll be the go-to person who keeps things running smoothly, makes everyone feel welcome, and adds a little sparkle to the everyday. What you’ll be doing:

Lead & Innovate

  • Always look for ways to make the employee experience even better, while finding smart savings and smoother ways of working
  • Partner with HR and the wider management team to bring events and employee experience activities to life

Develop & Deliver

  • Keep the office running smoothly, managing facilities and office operations day to day.
  • Maintain supplies of food, beverages and other staples by monitoring stock and coordinating deliveries
  • Make sure incoming and outgoing post is handled quickly and correctly
  • Own our DSE set-up and support desk moves so everyone’s comfortable and ready to work
  • Create simple, easy-to-use Workplace guides & processes so the team can cover when you’re away (we all need time off sometimes)
  • Manage and maintain records of expenditure in all areas, producing reports as required and working with our Finance team

Engage & Support

  • We really value health and wellbeing. At Ubisoft, you’ll work with Health Advocates to manage our Better Health at Work initiative
  • Coordinate and communicate employee benefits (including the very popular office massage sessions every Tuesday and Wednesday)
  • Monitor and support health and safety within the office and discuss any incidents or concerns with the Senior HR Manager
  • Manage the relationship with our suppliers, landlord and partners to ensure the office is a great place to work, including cleaning contracts and security, and keep our suppliers to their promises
  • Organise travel requirements for our Newcastle-based employees
  • Build great relationships across the team and externally with suppliers and partners, so things get done quickly and well
QUALIFICATIONS

What We’re Looking For

We’re passionate about bringing in someone with the right mix of experience and a positive, can-do attitude. You’ll be the welcoming face of Ubisoft Ltd, making visitors feel welcome from the moment they arrive. Here’s what we need:

  • Experience in a workplace or office management role (exposure to similar roles are welcome)
  • Demonstrated responsibility for workplace services and office management in an environment supporting 100–200 employees (experience in smaller or larger settings also welcome).
  • Industry experience in media, entertainment, or technology is desirable, but not essential.
  • A forward-thinking Workplace Manager who loves elevating the everyday, adding thoughtful touches that make the office feel special (think Wimbledon-themed treats, Halloween décor, seasonal moments).
  • Great communication and people skills, with a genuine passion for delivering excellent service and a brilliant employee experience, while keeping everyone informed along the way.
  • Super organised, detail-focused, and discreet when it counts as well as the ability to juggle multiple tasks in a fast-paced environment
  • Confident managing your workload independently, keeping stakeholders informed, and taking a proactive, solutions-focused approach to continuous improvement.
  • GCSEs (or equivalent) in English and Maths
