Job Description
We have an exciting opportunity for a Facilities Assistant to join our Newcastle office on a 12 month FTC basis.
The Facilities Assistant plays a key front-facing role in supporting the effective operation of the Newcastle office and wider business. The role has a strong Digital Mailroom focus alongside broader Facilities Management, maintenance, and customer service responsibilities. A high level of accuracy, ownership, and self-motivation is essential. Working as part of a team, on a rota of three shift patterns AM 07:30 – 15:30, MID 08:30 – 16:30 – PM 10:00 – 18:00.
What will you do?- Open, scan, digitise and distribute incoming mail accurately
- Email scanned correspondence to recipients first time right
- Archive original documents in line with retention standards
- Handle original and legal documents with care and confidentiality
- Support mail retrieval and outgoing mail fulfilment
- Act as first point of contact for all incoming Digital Mailroom related requests. Working to complete requests same day
- Monitor and respond to FM helpdesk requests.
- Manual handling, minor office furniture moves, meeting room set ups, etc.
- Manage contractors / vendors entering out offices, ensuring due diligence is in place and that new vendors are inducted properly.
Must-have
- Highly customer focused with excellent communication skills and able to build / maintain professional relationships with colleagues
- Have great organisational skills and attention to detail.
- Psychically able to lift up to 25kg occasionally
- Proficient in Outlook, Teams, Webex, Word, Excel, PowerPoint and Adobe Acrobat
- Facilities Management, Mailroom and Facilities Helpdesk experience preferred
- Experience in problem solving using initiative
