As an Assistant Records Manager and Information Rights Case Adviser, you will provide a timely and professional service. For internal customers you will be assisting them with records and information management queries. For external customers you will respond to requests for information under the Freedom of Information Act (2000), Environmental Information Regulation (2004) and Subject Access Requests under the Data Protection Act (2018).
This is a vital role and is part of the wider KIM team, developing and embedding a culture of good records and information management across APHA. Your responsibilities will include, but not limited to:
- Manage your workload, drafting responses, ensuring compliance with deadlines and relevant legislation. These requests may fall under the Freedom of Information (FOI) Act, the Environmental Information Regulations (EIR) and Subject Access Requests (SAR) under the data protection legislation.
- Liaison with the Information Rights Team (Defra), Data Protection Team (Defra), Press Office, Executive Support Team, APHA Business areas and other Bodies as necessary for case management.
- Support colleagues who lead on internal reviews, Information Commissioner's Office (ICO) cases and Information Tribunal cases.
- Create, review and maintain procedural documents, including team instructions, response templates and standardised communication lines.
- Produce reports and statistics as required and contribute to the APHA Publication Scheme.
- Deliver assigned roles in ongoing records, knowledge and information management, including:
- Governance and best practice within Microsoft 365 tools (including SharePoint).
- Records retention and review.
- Work with physical records at various APHA locations.
- Publication of Open Data sets.
- Support KIM projects and initiatives.
- Shared responsibilities including meeting organisation and administration, mailbox management and support colleagues.
- Champion, contribute and promote Knowledge and Information service across APHA. This may include liaising with APHA business areas, delivering presentations, training and possible visits to other offices across APHA.
- Keep updated with KIM events and issues across the wider profession through membership of relevant societies and participation in working groups.
