Salary: £27,319 to £28,031 with progression to £29,588 per annum pro rata

The Role

We have an interesting opportunity for an Education Assistant to join our team on a part time basis.

You will be based at our Newcastle-upon-Tyne campus that has fantastic transport links and state of the art facilities.

We are looking for someone with skills in:

  • Communication – written, oral and able to demonstrate empathy,
  • Organisation and prioritisation

To provide administrative support to the School of Medicine administrative team with a focus on Student Selected Components (SSC) and Specialist Topics.

  • To provide administrative support to the education function of the School across the full student lifecycle (from registration, through progression to completion)
  • Responsible for determining and inputting amendments to annual documentation such as modules (Specialist Topics from November – May) and regulations, seeking advice from academic colleagues where necessary
  • Acting as expert user of the various University systems, and for training other staff where appropriate
  • Responsible for ensuring up to date information is uploaded to the appropriate University systems. In addition, to be responsible for inputting updates of teaching materials on University systems as they arise, and the timely distribution of materials to staff and students
  • To participate in the organisation of the processes necessary to deliver successful and effective programmes of study for all medical students, and to provide support and taking responsibility for a number of key areas within the Medical Student Office. This includes the collation, production and dissemination of appropriate information to students and staff in respect of Student Selected Components using a Web based system
  • To request, collate, edit and produce course information from academic staff relating to various modules within the Undergraduat programme of study, such as the Specialist Topics
  • Where appropriate to act as secretary to designated meetings (such as the Intercalation bursary meeting in February and Specialist Topics meetings throughout the year,), including agenda preparation and circulation, minute taking and monitoring progress of actions
  • To oversee the yearly Celebrating Success event
    - June-November (depending on when the event is held)
  • To oversee the electronic Staff Development booking and reporting system with respect to setting up workshops, sending and tracking invitations, as well as uploading training materials and send details to all LEPs. This also requires good knowledge of Microsoft Teams
  • To oversee the organisation of the yearly Clinical Teaching Forum, a full day of workshops open to all clinical teachers associated with Newcastle University MBBS curriculum
  • To plan and organise the induction programmes for students in Years 3-5 including the Year 4 Careers Day and Year 5 Jobs Fayre
  • Any other duties within the scope and general nature of the grade which may be required. This includes some flexibility in working hours and may include occasional weekend working (in the region of two Saturdays per year)
The Person Knowledge, Skills and Experience
  • Relevant experience in a previous clerical or administrative role
  • Working knowledge of relevant systems equipment, processes and procedures including standard software packages
  • Excellent organisational skills with the ability to use initiative, resolve problems independently and manage conflicting priorities
  • Good level of literacy and numeracy skills
  • Ability to communicate clearly both orally and in writing and be able to tailor content to different audiences
  • Good I.T. skills, i.e. good working knowledge of Microsoft Office products including Excel, Word, Outlook, and PowerPoint, and Teams
  • Ability to analyse data
  • Familiarity with work priorities and those of colleagues
  • Ability to learn and understand relevant University policies and procedures, as they affect the role
